We are seeking a highly organised and detail-oriented Technical Financial Administrator to join our professional growing team. This role involves managing financial data, preparing reports, and supporting financial planning activities. The ideal candidate will possess strong analysis skills, excellent communication abilities, and proficiency in Microsoft Office applications. The position offers an opportunity to contribute to the financial health of our organisation while developing your expertise within the financial services sector.
This is an Office - Based role located in Ashford in Kent, Candidates must be able to commute to the office or be willing to relocate. Flexible working arrangements may be considered following successful completion of the probation period.
Duties
- Booking and coordinating client review meetings
- Prepare client documentation before, during and after review meetings
- Produce Pre-Review and Post-Review Meeting Reports, ensuring accurate data input and readiness for wealth planner review.
- Preparing, submitting and actively following up Letters Of Authority (LOA's) with providers.
- Contacting ceding providers to obtain up-to-date valuations, transfer values and scheme information in preparation for advice.
- Assist in financial planning processes by gathering relevant data and providing insightful analysis.
- Completing and recording all action points arising from meetings in accordance with internal processes and regulatory policy.
- Maintain organised records of financial transactions, invoices, and other relevant documentation.
- Prepare and analyse financial reports using Microsoft Excel and Word, ensuring accuracy and clarity.
- Support the finance team with report writing and data analysis to inform decision-making.
- Utilise organisational skills to manage multiple tasks efficiently, including scheduling meetings and preparing agendas.
- Communicate effectively with internal teams and external clients to facilitate smooth financial operations.
- Use Microsoft Outlook for correspondence, scheduling appointments, and managing deadlines.
- Provide excellent customer service by addressing queries related to financial matters promptly and professionally.
Requirements
- Proven administrative experience, preferably within a financial services environment.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Proficiency in Microsoft Office Suite, particularly Microsoft Word, Excel, and Outlook.
- Experience in back-office CRM like XPlan and/or Quilter systems, Dynamic Planner.
- Excellent report writing and analysis skills with attention to detail.
- Good communication skills, both written and verbal, for liaising with colleagues and clients.
- Knowledge of financial planning principles and procedures is desirable but not essential.
- Ability to manage time efficiently in a fast-paced environment.

New Client Onboarding
- Ensuring new client documentation is complete, accurate and compliant. Conducting data verification and cleansing of client information.
- Supporting the Wealth Planner in preparing documentation and reports required for client meetings.
- Coordinating and scheduling new client meetings.
