To support our continued growth, we are seeking an energetic, hands-on Operations Manager to join our team.

The Operations Manager is responsible for the day-to-day operational delivery of a high-end residential letting portfolio, predominantly student-focused. The role will take full ownership of tenant-facing operations (non- financial), acting as the primary point of contact for all non-maintenance matters and managing the tenancy lifecycle end-to-end.
The role ensures properties are compliant, well maintained, and delivered to a consistently high standard, while supporting a high-quality experience for both tenants and landlords.
Key Responsibilities
Compliance &* Regulation*
- Implement all compliance requirements across the portfolio
- Maintain and track property safety certifications
- Ensure all properties meet regulatory standards (HMO and non-HMO)
- Liaise with landlords and local authority (e.g. Fife Council)
- Apply for new and renewal HMO applications
Lettings &* Tenant Management*
- Act as primary tenant point of contact for all non-maintenance matters
- Take full ownership of tenant operations (non-financial)
- Shortlist tenants for new tenancies
- Coordinate and host property viewings
- Manage all incoming email enquiries
- Handle front-end complaints, escalating to the Operations Director where required
- Manage start of tenancy (check-ins)
- Manage end of tenancy (check-outs)
- Manage all aspects of the tenancy lifecycle
Tenancy Setup &* Documentation*
- Obtain required documentation and set up all new tenancy agreements
- Manage inventory creation and tracking
- Ensure properties are fully prepared ahead of tenancy start dates
Property &* Inspection Management*
- Conduct monthly HMO inspections
- Conduct quarterly inspections for non-HMO properties
- Produce inspection reports and identify required actions
- Maintain high presentation and operational standards across the portfolio

Experience
Lettings / property experience desirable but not essential
Qualifications
- Letting Agent qualification at SCQF Level 6 or above is required, with training and support provided if not already obtained
- Successful candidate must satisfy the requirements of the Scottish Letting Agent Register, including Fit and Proper Person criteria
Working Style
- Field-based role with regular property visits. Travel to St Andrews within 30 mins desirable

Pay: £38,000.00-£42,000.00 per year
