Full job description

Responsible to: Administration Manager 1-11 and Head of Early Years Foundation Stage

Location: Predominantly based at Salisbury Villas Nursery, Cambridge, with occasional cover at other sites within the group of nurseries.

Role Description

We are currently seeking an exceptional Early Years Administration Manager & PA to serve as an integral part of our Early Years operations. Within this dual-focused position, you will oversee the day-to-day administrative functions of our nurseries whilst delivering trusted, high-level personal assistance to the Head and Deputy Head of Early Years. If you possess the capability to thrive within a dynamic educational setting, adeptly manage varied responsibilities, and take pride in ensuring the seamless operation of complex administrative systems, we welcome your application.

Main Responsibilities:

1. PA Support & Office Leadership

● Diary & Meeting Management: Manage the busy schedules of the Head of Early Years, Deputy Head, and Nursery Managers. Prepare agendas and take precise minutes for key manager and committee meetings.

● Office Coordination: Oversee the day-to-day running of our Early Years offices, manage office budgets, and order resources and stationery.

●Recruitment & Staffing: Assist the Head of Early Years with staff recruitment and coordinate agency staff bookings, providing regular staffing level reports.

2. Parent & Community Relations

● First Impressions: Provide a warm, professional "front of house" welcome to visitors and handle phone and email enquiries beautifully.

● Parent Communications: Act as a helpful "gatekeeper" for teaching staff, send out parent communications (via ParentMail), and build trusting relationships with our families.

● Admissions & Events: Partner with our Admissions team to coordinate tours for new families, manage new starter/leaver details, and handle the admin for Open Days and Parents’ Evenings.

3. Systems & Data Management

● School Management Systems: Keep pupil records accurately updated on iSAMS, manage registration timetables, and assist the Accounts team with nursery billing.

●Learning Platforms: Take ownership of our Tapestry platform across all four sites, producing reports for the Head of School.

● Health & Welfare Tracking: Update and upload Individual Health Care Plans (IHCPs) to our systems to keep our children safe.

4. Nursery Operations & Safeguarding

● Catering & Logistics: Manage pupil dietary lists and coordinate weekly numbers with the catering team.

● Health & Safety: Act as a First Aider and Fire Warden (training provided), coordinate registers during drills using InVentry iPads, and flag maintenance issues to the Estates team.

General Responsibilities

● Act as an excellent ambassador for Stephen Perse at all times.

● Build and maintain good working relationships with all Stephen Perse colleagues.

● Assist as necessary in other Stephen Perse areas at peak times.

● Work at all times towards the aims and goals of Stephen Perse and any individual objectives and targets you may have agreed.

● Proactively identify areas for improvements within Stephen Perse.

● Actively promote Stephen Perse Equal Opportunities Policy, encouraging staff awareness and participation in all areas.

● Act in accordance with the Data Protection principles at all times.

● Adhere at all times to Stephen Perse operational and employment policies and procedures.

● Take care of your own health and safety and that of people who may be affected by what you do (or do not do).

● Cooperate with others on health and safety, and not interfere with, or misuse, anything provided for your health, safety or welfare.

● Follow the training you have received when using any work items Stephen Perse has provided.

● Adhere to Stephen Perse’s Privacy Notice and ensure private and confidential data is kept secure and disposed of in the appropriate manner.

Safeguarding and welfare of children

The post holder’s responsibility for promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact, will be to adhere to and ensure compliance with Stephen Perse’s Safeguarding and Child Protection Policy statement at all times. If, in the course of carrying out the duties of the post, the role-holder becomes aware of any actual or potential risks to the safety or welfare of children in the School, s/he must report any concerns to the School’s Designated Person or the Stephen Perse Designated Safeguarding Lead.

All employees of Stephen Perse adhere to the Safer Working Practices guidance and all teaching staff are required to adhere to the Teaching Standards which can be found on the government website.

Terms and conditions

All appointments for Stephen Perse are subject to satisfactory reference and disclosure and barring service (DBS) checks, suitability to work with children checks, online checks, proof of identity and eligibility to work in the UK, completion of a medical questionnaire and proof of qualifications.

Hours of work

37.5 hours per week, working Monday to Friday from 07:30 to 15:30 or 08:00 to 16:00, 52 weeks per year.

Salary

£29,291 - £34,930 per annum.

Pay: £29,291.00-£34,930.00 per year
