Role Details:
We are seeking a proactive Junior Document Controller to join our team on the project. In this role, you will work closely with the project management team to control the flow of documents and information across the multiple Programme stakeholders. The position will be central to ensuing the document control process is implemented across all parties involved in the Programme, whether internal departments, customer stakeholders or supply chain partners.
The Junior Document Controller will be involved at all stages from identification of the need for a document, through its development, review, issue, and archiving. The Junior Document Controller will be looked to by team members to provide guidance on the workflow processes, and will be an initial point of contact for any queries / advice on the operation of the Document Control Procedure. This role will fit into a wider Information Management / Document Control team, supporting other programmes and other projects within the DIO Portfolio.
Key Responsibilities:
- Support the management of document workflows through the document control software (REBIM / GliderBIM).
- Assist with maintaining document filing structures within SharePoint working spaces.
- Ensure project documents are correctly uploaded, issued, tracked, and archived in line with project procedures.
- Provide support to new team members on document control procedures and system usage.
- Assist with document numbering, status updates, and revision control in accordance with the Document Control Process.
- Carry out document quality checks to ensure compliance with project standards and procedures.
- Support communication with supply chain partners regarding document submissions and workflow activities.
- Liaise with project stakeholders to assist with document distribution and the return of comments within agreed timescales.
- Support the Project Management and Engineering teams in maintaining document trackers and deliverable schedules.
- Provide general administrative support to the wider Information Management / Document Control team as required.
Key Requirements:
Essential:
- Previous experience in an administrative or document control role would be advantageous.
- Strong attention to detail and a willingness to follow processes and procedures.
- Good organisational skills with the ability to manage multiple tasks and meet deadlines.
- Proficient in Microsoft Office packages including Excel, Word, and Outlook.
- Strong communication and interpersonal skills.
- Ability to work collaboratively within a team environment.
- Willingness to learn and develop within a Document Control / Information Management environment.
Desirable:
- Experience using document management systems or SharePoint.
- Experience working within engineering, construction, defence, or project-based environments.
- Experience working in a Client organisation.

- Security - The incumbent of this role must be a minimum of SC cleared and a sole UK national since birth.
