Veterinary IT Services is the UK's specialist IT and cyber security partner for veterinary practices, 21+ years inside the sector, exclusively veterinary. We're growing fast, and we're looking for a Procurement & Proposals Coordinator to become the engine behind our quotes, proposals and procurement: the person who turns "here's what the practice needs" into a clean, costed, ready-to-send proposal. This is an office-based role at our Cirencester base, working shoulder-to-shoulder with the team.
This is a coordination-led role, not a design one, but it sits right next to our engineers and vCIOs, so you'll learn the technology fast and have a clear path into pre-sales or vendor management as you grow.
What you'll be doing
You'll work across our operations and sales teams and become the go-to person for:
- Preparing quotes for IT hardware, software, licensing and services
- Building professional proposals for new projects, upgrades and client onboarding packages
- Managing procurement with our suppliers, placing orders and making sure everything arrives accurately and on time
- Keeping our pricing databases and product templates current and trustworthy
- Working closely with our vCIOs, project leads and engineers so every proposal is aligned before it goes out
- Sharpening the internal process around quoting, proposals and supplier relationships so we move faster without losing quality
It's a pivotal role, you're the reason our client-facing proposals are consistent, quick and genuinely good.
What you'll need
Essential
- Meticulous attention to detail and strong organisational skills
- Excellent written English, you can turn technical detail into clean, client-friendly proposals
- Confidence with Microsoft 365 and a willingness to master quoting tools
- A proactive attitude and the ability to juggle several jobs at once without dropping any
Desirable (we can teach the rest)
- A working grasp of common IT products - laptops, firewalls, licensing, cloud services
- Experience in an MSP, IT reseller, distributor or procurement/purchasing role
- Familiarity with quoting systems
Where this role can go
