Transport, Sales & Customer Service Coordinator

Hours: Monday to Friday, 40 hours per week
Salary: £29,000 to £32,000 per annum, depending on experience

Overview
We are seeking an energetic, highly organised and commercially minded Transport, Sales & Customer Service Coordinator to join our busy team.
This is a varied and important role combining transport coordination, logistics administration, customer service and sales support.
You will help coordinate the day-to-day running of our delivery operation, including our own fleet and nationwide pallet deliveries, while also dealing directly with customers, taking orders, resolving queries and identifying sales opportunities.
You will work closely with the sales team, yard team, drivers and management to ensure that orders move smoothly from initial enquiry through to delivery.
This role would suit someone who enjoys working in a fast-paced environment, is confident dealing with customers and drivers, and can think practically when plans need to change.
Key ResponsibilitiesTransport & Logistics
- Plan and coordinate daily delivery routes for Dandy’s own fleet of vehicles.
- Allocate deliveries appropriately based on vehicle capacity, product type, delivery location, access requirements and customer timescales.
- Produce manifests, delivery paperwork and loading sheets for drivers and yard staff.
- Book and manage nationwide pallet deliveries and collections through the Palletways network.
- Monitor deliveries throughout the day and respond quickly to delays, access issues, failed deliveries or changes to the schedule.
- Coordinate vehicle movements entering and leaving the site.
- Communicate closely with drivers and the yard team to ensure vehicles are loaded correctly and ready for departure.
- Organise collections and backloads to maximise vehicle utilisation and reduce unnecessary mileage.
- Consider vehicle efficiency when planning routes, including combining deliveries and collections wherever practical.
- Liaise with third-party carriers and transport providers where required.
- Maintain accurate transport records and ensure relevant documentation is completed correctly.
- Highlight potential transport, stock or operational issues before they impact the customer.
- Assist with resolving damaged deliveries, shortages, failed deliveries and other transport-related problems.
Sales
- Deal with incoming sales enquiries by telephone, email and in person.
- Take customer orders and ensure all information is entered accurately.
- Assist customers in selecting suitable products for their requirements.
- Prepare quotations and follow up customer enquiries where required.
- Identify appropriate opportunities to increase order values through additional products, quantities or delivery options.
- Support the wider sales team during busy periods.
- Help convert enquiries and quotations into confirmed orders.
- Promote Dandy’s products, services and delivery options.
- Develop positive relationships with both retail and trade customers.
- Work commercially while maintaining appropriate margins and following company pricing procedures.
- Contribute towards departmental and company sales targets.
Customer Service
- Provide a friendly, helpful and professional service to customers at every stage of their order.
- Respond promptly to delivery enquiries and provide accurate information wherever possible.
- Contact customers regarding delivery dates, vehicle access, product availability or changes to their delivery.
- Manage customer expectations professionally when circumstances or schedules change.
- Take ownership of customer queries and work with the relevant department to reach a practical resolution.
- Deal calmly and professionally with complaints and delivery problems.
- Maintain clear communication with customers until issues are resolved.
- Help ensure customers receive a consistently high level of service from initial enquiry through to completed delivery.
- Record relevant customer communications and ensure information is passed accurately between departments.
Administration & Operational Support
- Maintain accurate customer, sales, transport and order information across company systems.
- Ensure delivery instructions, access information and other important customer notes are recorded correctly.
- Communicate effectively between the sales office, transport team, yard, drivers and management.
- Assist with general administrative duties across the transport and sales functions.
- Monitor outstanding tasks and follow them through to completion.
- Support the wider team during busy trading periods.
- Follow company procedures relating to health and safety, transport, customer service and site operations.
Essential Skills & Experience
- Previous experience within transport, logistics, sales, customer service or a similar fast-paced operational environment.
- Strong organisational and planning skills.
- Excellent attention to detail.
- Confident and professional telephone manner.
- Strong customer service skills and the ability to build positive customer relationships.
- Commercial awareness and confidence discussing products, prices and orders with customers.
- Ability to prioritise multiple tasks and manage changing demands throughout the day.
- Strong problem-solving skills and a practical approach to resolving issues.
- Ability to remain calm and professional under pressure.
- Good IT skills and confidence learning new systems.
- Strong communication skills and the ability to work effectively across different departments.
- Proactive attitude and willingness to take ownership of responsibilities.
- Ability to work both independently and as part of a wider team.
Desirable Experience
Experience in any of the following would be advantageous:
- Transport planning or vehicle routing.
- Working within a transport office or logistics environment.
- Working with UK pallet distribution networks.
- Sales administration or telephone-based sales.
- Customer service and complaint handling.
- Shopify or other e-commerce/order management platforms.
- Route planning or delivery management software.
- Construction materials, aggregates, landscaping supplies, haulage or distribution.
- Working within a busy trade, retail or online business.
- Coordinating deliveries using different vehicle types and capacities.
Full training on Dandy’s internal systems and processes will be provided.
