Hartley Pensions are looking for talented senior pension administrators with extensive experience in both leadership and SIPP& SSAS pension transfers to lead our transfer out team during an important transitional phase for the business.
By working in Hartley's transfers out team, you will play a key role in the delivery of high-quality outcomes and ensuring an exceptional service is provided to our clients.
Who are Hartley Pensions?
Hartley Pensions are a SIPP and SSAS pensions operator based in central Bristol. Since July 2022, the company has been in a trading administration. Under the administration of UHY Hacker Young, Hartley Pensions continues to operate an essential service to clients whilst preparing to transfer members to new UK-based operators and wind down the business.
Role
As Hartley Pensions continues to transfer out our SIPP and SSAS members over to new operators, we are seeking a driven pension transfers specialist to support this vital function.
The work of Hartley’s transfers out department makes up a critical component of our continued administration. As a senior member of this team, your duties will cover (but are not limited to) the following:
- With an already existing understanding of the SIPP transfers out process (through both bulk and individual transfer methods), you will assist the team in administering the end-to-end process of our clients’ transfer out requests. Including and not limited to initiating transfer out forms, specifying the type of transfer – whether in-specie or cash, to obtaining accurate valuations of the portfolio and working with elected operators to ensure the effective and secure transfer is executed.
- As a senior member of this team, you will be the immediate point of escalation on devolved queries from junior colleagues. This will involve managing caseloads of your own work whilst being on hand to support the team when required.
- Understand the administration software and workflow systems of the company. Being conscious of deadlines and business priority needs and oversee their timely and effective completion. Where necessary, you will structure training and development plans, providing constructive pathways to individual members to facilitate professional growth in the role. Consequently, you will be seen as a source of guidance given your prior pension transfer out experience. It is therefore vital that you can foster a supportive and positive culture for your team.
- Perform due diligence in line with the relevant regulatory guidelines. Where necessary, report to senior management on compliance matters.
- Work cross functionally with other areas of the business. For example, you will work closely with our SIPP and bereavement teams, where in cases of a client in drawdown, advising all relevant stake holders on the options available to them in how they transfer out.
About You
It is essential that you are a leader who can handle voluminous, complex and diverse workloads.
- Prior experience in SIPP transfer outs is mandatory and should be reflected on your CV. You must have experience in handling bulk transfer requests as well as administering manual (paper) transfers. You will also have experience with and a strong technical understanding of transferring more complex portfolios wherein commercial property or non-standard assets may exit. This is not an entry-level position and whilst we provide training and upskilling to staff, you are fully expected to hit the ground running.
- Have a decent level of knowledge around pension laws and tax regulations, specifically around SIPP & SSAS transfers out.
- You will be conscious of and have demonstrable experience with GDPR regulations and ensuring the application of security protocols, ensuring the privacy and appropriate handling of sensitive client data is always upheld.
- Numerical proficiency must be an essential element to your skillset. This is necessary in obtaining and recording final SIPP valuations when ready to transfer as well as reconciling investment transactions. A minimum Grade C/4 or above in GCSE Mathematics (or an international equivalent) is required.
- A competent standard of literacy is also critical. You will be dealing with complex legal documents, tax regulations and direct client communication. Therefore, your ability to read, interpret and write in a clear and professional manner is necessary for this position. A minimum Grade C/4 or above in both GCSE English Literature and English Language (or an international equivalent) is required.
- You must have a decent level of communication skills. It is highly important that as a representative of the firm, you can effectively communicate technical pension information into lay terms to clients, members of your team and all relevant stakeholders. Your ability to communicate must crucially concern the ability to cater your tone to one of empathy and assurance.
- You must have experience and competency utilising bespoke SIPP/SSAS administration platforms. It is desirable that you have prior experience with Delta Platinum Pro and SIPP Pro. Further, you must have a competent ability to use core Microsoft tools such as Word and Microsoft Excel.
