Job Summary
As an Area Coordinator, you will play a pivotal role in facilitating and coordinating projects related to fire and security systems. You will be responsible for managing the entire lifecycle of works projects, from initial planning and assessment to project execution and completion. Your expertise and attention to detail will ensure that all projects are completed efficiently and on time, whilst maintaining the highest quality standards.
Duties
- Schedule and coordinate engineers' and subcontractors' diaries, including planned maintenance visits, reactive callouts, and minor works/projects.
- Maintain and update the company CRM and operating systems with visit dates, job progress, and customer communications.
- Arrange appointments with customers, including issuing service notifications, appointment confirmations, and correspondence where required.
- Liaise with engineers and subcontractors to ensure work is completed within agreed timescales and in a cost-effective manner.
- Communicate with clients to obtain approval for additional works and repair uplifts where required.
- Review, proofread, and accurately input data from engineers' reports into the company's cloud-based operating platform.
- Manage urgent and emergency call-outs, assigning appropriate engineering resources and monitoring progress through to completion.
- Raise purchase orders and coordinate with suppliers and subcontractors to ensure the efficient delivery of services.
- Respond promptly and professionally to customer enquiries, maintaining high levels of customer satisfaction and service delivery.
- Manage incoming emails, customer communications, and general administrative updates across company systems.
- Coordinate and maintain the company's national out-of-hours call-out cover arrangements.
- Support the onboarding of subcontractors, including compliance checks, documentation verification, and database management.
- Monitor job costs and profitability to ensure commercial targets and margins are achieved.
- Produce weekly, fortnightly, and monthly operational and performance reports for management review.
- Understand and work towards role-specific KPIs and performance objectives.
- Assist with incoming telephone calls, reception duties, and general office administration as required.
- Develop and maintain a basic understanding of the relevant British Standards and the company's responsibilities as a third-party accredited Fire Alarm Contractor.
- Build and maintain a working knowledge of fire alarm systems and associated engineering services to effectively support operational requirements.
SKILLS AND EXPERIENCE
Essential:
- Previous experience in a coordination, scheduling, administration, customer service, or engineering support role.
- Strong organisational skills with the ability to manage multiple tasks and changing priorities.
- Excellent verbal and written communication skills.
- Good working knowledge of Microsoft Office applications, particularly Outlook, Word, and Excel.
- Experience using CRM, scheduling, or job management systems.
- High level of accuracy and attention to detail when processing data and reports.
- Ability to work effectively both independently and as part of a team

Pay: £26,500.00-£30,000.00 per year
