In this varied role, you'll provide essential administrative support, manage busy phone lines, process referrals, book appointments, and keep patient records accurate on Trust systems. You'll be the first point of contact for many-offering a professional, empathetic service to patients and relatives in a wide range of situations, including those who may be distressed, vulnerable, or have complex needs.
You'll thrive in a fast-paced, ever-changing environment where priorities can shift quickly. Strong communication skills, attention to detail, and confidence handling sensitive information are key. You'll also work collaboratively with clinicians and external partners while ensuring all communications reflect the highest standards. Flexibility is important, as cross-site working may be required.

Main duties, tasks & skills required
Ability to operate in a constantly changing environment.
To process referrals and make appointments
To take phone calls and direct them accordingly or take messages and contact clinical staff as required.
To lift, move and load/unload boxes containing medical records or supplies.
To undertake clerical duties for the service e.g. emails, filing, photocopying and scanning as required.
To open, date stamp and distribute mail.
Travel to other sites when required.
Communication with Social Services, Relatives, Patients, Physiotherapist/OT's/GP's, Consultants, other clinical professionals, Local hospitals, other Trusts, Suppliers. Receiving and talking about confidential/ sensitive information
Special needs: Phone contact with patients or their relatives of a great age range. Some who may be hard of hearing, demented, confused, have difficulty with English. Also distraught or angry patients or family members (may not agree with packages of care being reduced or recently had a loss of a family member). May also be dealing with terminally ill patients and families, this may be by telephone so will need to show empathy with all of the above, confidence to impart correct information, firmness and efficiency extremely important.
Maintain confidential medical information and manager's correspondence within the Caldicott guidelines.
