Job Summary
The Maintenance Stores & Parts Coordinator is responsible for the efficient management of the engineering stores, ensuring maintenance engineers have the correct parts, consumables and equipment available to minimise production downtime. The role manages spare parts inventory, purchasing, supplier liaison, goods receiving, stock control and the preparation of maintenance kits for planned maintenance activities. The position supports maintenance operations by maintaining accurate inventory records, optimising stock levels and ensuring the engineering stores operate safely, efficiently and in accordance with company procedures.
Responsibilities
Engineering Stores Management
- Maintain an organised, clean and safe engineering stores area.
- Control stock levels of engineering spare parts, consumables and maintenance equipment.
- Ensure all stock is accurately labelled, located and recorded.
- Carry out regular stock counts and annual inventory audits.
- Identify obsolete or slow-moving stock and recommend disposal or replacement.
Spare Parts Purchasing
- Raise purchase orders for engineering parts, consumables and maintenance materials.
- Source parts from approved suppliers ensuring best value, quality and delivery.
- Monitor supplier performance including delivery times and quality.
- Obtain quotations where required.
- Expedite urgent deliveries to minimise equipment downtime.
- Build strong working relationships with suppliers. maintenance operations through effective inventory management while enhancing their technical expertise in a dynamic environment.
Goods Receiving & Inventory Control
- Receive deliveries and inspect goods for accuracy and damage.
- Book goods into the inventory management system.
- Match delivery notes against purchase orders.
- Resolve delivery discrepancies with suppliers.
- Ensure stock transactions are accurately recorded.
Maintenance Kit Building
- Prepare maintenance kits for planned preventative maintenance (PPM) activities.
- Ensure kits contain all required parts, consumables, drawings and documentation.
- Work closely with Maintenance Planners and Engineers to prepare shutdown work.
- Return unused parts to stock following completion of maintenance work.
- Continuously improve kit preparation processes
Issue spare parts to engineers efficiently.
- Maintain critical spare parts availability.
- Support planned maintenance shutdowns with material availability.
- Assist engineers in identifying replacement components.
- Help maintain equipment BOMs (Bills of Materials).
MMS & Documentation
- Maintain accurate inventory records within the CMMS/ERP system.
- Update spare parts lists and equipment records.
- Produce inventory reports and purchasing reports.
- Maintain supplier catalogues and technical documentation.
- Ensure engineering documentation is current and accessible.
Continuous Improvement
- Identify opportunities to reduce inventory costs while maintaining service levels.
- Improve stores organisation using 5S principles.
- Recommend alternative components where appropriate.
- Support continuous improvement initiatives within Engineering.
Health, Safety & Compliance
- Ensure safe storage of engineering materials and hazardous substances.
- Maintain compliance with company Health & Safety procedures.
- Wear appropriate PPE.
- Ensure lifting equipment and storage systems are used safely.
- Support environmental initiatives including recycling and waste reduction.
- Previous experience within an engineering stores, maintenance stores or spare parts environment.
Experience
- Experience purchasing engineering components.
- Experience using CMMS, ERP or inventory management systems.
- Experience working within manufacturing or industrial maintenance.
- Experience managing engineering stock and inventory.
- Experience working with suppliers.
Technical Skills
- Knowledge of mechanical and electrical engineering components.
- Good understanding of bearings, motors, gearboxes, pneumatics, hydraulics and consumables.
- Competent using Microsoft Office.
- Experience using CMMS or similar systems desirable.
- Ability to interpret engineering part numbers and technical documentation.
- Good numerical skills.
Pay: Up to £30,000.00 per year
