Overview
We are seeking a highly organised and detail-oriented Account Administrator to join our team. This role is vital in supporting our administrative functions, ensuring smooth operations, and maintaining accurate records. The successful candidate will possess strong office experience, excellent computer skills, and a professional approach to communication. They should be methodical and organised and can work flexibly, preferably morning to early afternoon, up to 20 hours per week in a busy but small accounts team. Responsibilities
- Manage and maintain client accounts with accuracy and confidentiality.
- Handle data entry tasks efficiently using Microsoft Office, Google Workspace, and DataFlow/Sage.
- Payroll work-approx. 30 employees, and match invoices to delivery notes and purchase orders and process on our own in-house accounting system.
- Respond to client enquiries via phone and email with professional phone etiquette.
- Assist in preparing reports, invoices, and other documentation as required.
- Organise and schedule appointments, meetings, and follow-ups.
- Support the team with general administrative duties including filing, photocopying, and document management.
- Ensure all records are up-to-date and compliant with organisational standards.
- Collaborate with other departments to facilitate smooth workflow processes.
- Salary is dependent upon experience but circa £15 - £16k per annum based on the 20 hours above. Extra hours will be paid Pro-rata if and when required.

(e) Essential Qualifications: English and Maths GCSE or equivalent.
Preferred: Accounting or Business Processing or similar
(f) Essential Experience:
Commerce and administration-We sometimes need to call our Customers so a good telephone manner is essential
Business Operations/accounting software, such as Sage/Data Flow, Clarity or similar
MO 365.
Customer service,
Preferred: Customer Relationship Management systems (CRM) or similar. Experience of Credit Control is desirable, but not essential as training will be provided.
Job Summary (Description of main purpose of job):
To support the Sales & Marketing Director Designate in the efficient management of the Business and undertake activities of a commercial, administrative and reception nature. Car parking on site is free, and a pleasant airy working environment is maintained.
Key Tasks:
- Support the Sales & Marketing Director Designate (SMDD) and other members of the board and senior Leadership Team in activities relating to business and commerce within the Company.
- Manage the invoice process including checking, authorising, emailing and chasing invoices.
- Checking chasing and filing Proof of Delivery’s for purchasing.
- Undertake purchasing activity including cost analysis to get improved or cheaper products and reduce costs.
- Check and send statements and post cheques as necessary.
- Chase customer payments.
- Maintain BACs list of payments and due dates.
- Use IT to undertake administrative duties to support the Company’s needs.
- Support the coaching, mentoring and development of staff to ensure resilience across the teams.
- General reception/administrative duties to include:
- Managing queries and escalating as appropriate;
- Answering calls and door and responding to emails;
- General data entry activities;

- Ensure your behaviours reflect the standards and behaviors outlined in company policy and lead by example.
- Ensure your working area is well maintained and safe to ensure the health, safety and wellbeing of yourself and colleagues and is aligned to Health & Safety Standards.
- The main hours for this role will be between 8am – 4.30pm Monday- Friday. It is expected that this role will work 20 hours a week. It is expected that no additional payment will be made for hours outside of this. Time of in lieu will be given.
- It is an expressed condition of your employment that you are prepared, whenever necessary, to take on some duties normally undertaken by colleagues or transfer to alternative departments or duties within our business.
