Full job description

About the Role

We are looking for an organised and proactive individual to support the administration and day-to-day management of our commercial property portfolio.

The successful candidate will be responsible for maintaining our property management systems, handling enquiries, ensuring records remain accurate and up to date, and supporting the smooth operation of the Estates Department. This is a varied role combining administration, customer service, compliance monitoring and operational support.

Key ResponsibilitiesProperty Systems & Records

Maintain and update the property management system, ensuring information remains accurate and up to date.
Upload and manage tenancy, property and compliance records.
Monitor key dates including lease expiries, inspections, compliance requirements and renewals.
Ensure utility meter readings, property information and site records are regularly updated.
Maintain organised digital filing systems and document records.

Tenant & Customer Enquiries

Respond to enquiries regarding available units, self-storage and general property matters.
Record and track enquiries through the property management system.
Assist with viewings and preparation of property information where required.

Compliance Administration

Maintain records relating to compliance, including electrical inspections, emergency lighting, fire safety, COSHH and other statutory requirements.
Monitor compliance deadlines and highlight actions required.
Work with the Facilities Team to ensure records are complete and up to date.

Property Administration

Support tenancy administration, including onboarding new tenants and maintaining tenancy records.
Prepare letters, notices, information packs and other property documentation.
Assist with utility administration, meter readings and property data management.
Support rent reviews, business rates administration and other property-related processes.

Marketing & Communication

Create and update property adverts and marketing materials.
Maintain property listings and availability information.
Ensure tenant communications and documentation are professional and consistent.

Operational Support

Assist with day-to-day operational administration across the estate.
Support projects to improve efficiency and organisation.
Work closely with the Facilities Team to ensure information is accurate and readily available.

Ideal Candidate

Strong administrative and organisational skills.
Excellent attention to detail.
Confident using IT systems and Microsoft Office.
Able to manage multiple tasks and priorities.
Professional and confident communicator.
Experience within property, administration, facilities or office management would be advantageous.

Pay: £25,000.00-£30,000.00 per year
