Full job description

Supply Chain Controller

The Supply Chain Controller will support the effective purchasing of equipment, products and services required by Zeta UK. The role will combine supplier and commercial management with responsibility for maintaining appropriate stock control and availability. A key priority will be to reduce the volume of stock held directly by Zeta by working with suppliers and logistics partners to hold, schedule and deliver stock through the wider supply chain wherever practical.

The successful candidate will build strong third-party relationships, obtain competitive pricing, negotiate commercial terms and ensure suppliers deliver against agreed cost, quality and lead-time expectations.

The role will also retain responsibility for accurate stock records, purchase order administration, goods movements and the effective management of returns and obsolete equipment.

Key objectives

Develop and maintain effective relationships with key suppliers, manufacturers, distributors and logistics partners.
Support the transition from holding stock internally to a more flexible, supplier-led and scheduled supply-chain model.
Secure competitive pricing, appropriate payment terms, reliable lead times and improved overall commercial value locally.
Ensure materials and equipment are available when required without creating unnecessary working-capital exposure or excess inventory.
Maintain accurate purchasing and stock records across Zeta UK locations and systems.

Core responsibilities Procurement and supplier management

Manage the processing of purchase orders in line with approved business, project and service requirements.
Obtain quotations, compare supplier proposals and negotiate pricing, delivery, warranty and commercial terms within agreed authority levels.
Develop strong day-to-day relationships with suppliers and act as a primary point of contact for purchasing, availability and delivery matters.
Monitor supplier performance against price, quality, lead time and service expectations, escalating issues and supporting corrective action where required.
Identify opportunities to consolidate spend, improve buying arrangements and reduce the total cost of supply.
Maintain accurate supplier information, pricing records, order acknowledgements and purchasing documentation.
Support the introduction, review and development of new suppliers, including basic due diligence and performance assessment.

Supply-chain and inventory management

Work with suppliers, project teams and operations to forecast demand and agree appropriate call-off, scheduled delivery or supplier-held stock arrangements.
Actively reduce unnecessary stock held within Zeta facilities by pushing appropriate inventory back into the supply chain while protecting operational continuity.
Maintain agreed minimum and maximum stock levels for critical products, spares and project materials.
Monitor stock availability, shortages, excess and obsolete inventory, recommending appropriate action.
Maintain accurate stock counts across northern and southern facilities and support periodic stock checks and reconciliations.
Record installed or consumed stock from engineer and project reports, ensuring systems are updated accurately and promptly.
Coordinate stock transfers and shipments between Zeta facilities, suppliers, engineers and customer premises.

Goods receipt, returns and warehouse support

Receive and check deliveries against purchase orders, investigating discrepancies, shortages or damage with suppliers.
Ensure incoming equipment is correctly identified, recorded, stored and made available to the relevant teams.
Manage the RMA process for faulty or damaged items, including return, repair, replacement and supplier credit follow-up.
Coordinate WEEE and electrical waste collections and maintain appropriate supporting records.
Support the testing or basic assessment of faulty equipment where appropriate and within capability.

Business support

Work closely with project delivery, service, finance and commercial teams to ensure purchasing activity is aligned with customer and operational requirements.
Provide clear updates on order status, delivery risks, shortages, price changes and supplier issues.
Support the customer service desk with incoming calls or basic queries when required, without this becoming the primary focus of the role.
Contribute to the development and improvement of procurement, stock-control and supply-chain processes.

Personal skills and experience

Previous experience in procurement, purchasing, buying, supply-chain administration or supplier coordination is highly desirable.
Confident communicating with suppliers and comfortable negotiating price, lead time and service expectations.
Commercially aware, with an interest in achieving value for money and reducing unnecessary cost and inventory.
Experience of stock management, warehouse administration or inventory control is desirable.
Strong organisational skills, attention to detail and the ability to manage multiple orders and priorities.
Logical, process-orientated and able to work on own initiative.
Good interpersonal skills and a professional telephone and email manner.
Experience with electronic or technical AV products would be advantageous.
Full UK driving licence.

Working hours and benefits

Monday-Friday: 09:00-17:30

Starting salary: £30,000

Access to Company Vehicle

Annual leave: 25 days plus bank holidays

Pay: Up to £30,000.00 per year
