Within this role you will support the School Immunisation Team Lead in the operational management of NHS Greater Glasgow & Clydes School Immunisation Teams to provide an accessible, appropriate, culturally sensitive, safe, person centred and effective service for children, young people and families in
the community. The role provides admin support for clinic scheduling and appointment bookings for the vaccination programmes across GG&C schools, information tracking and data provision. You will work in partnership with service users, care providers and other agencies. You should show competence in the use of a range of computer packages evidenced by experience or formal qualifications e.g. ECDL, and be willing to participate in short courses or more formal training opportunities to improve skill level e.g. through achievement of SVQ in Administration at Level 2 or 3.
The role:
No Band 2 roles are eligible for sponsorship under the Skilled Worker visa or Health and Care Worker visa. routes. For Band 3 roles, only posts of 32 hours per week or more may meet eligibility. NHS Greater Glasgow and Clyde (NHSGGC) cannot provide a Certificate of Sponsorship (CoS) for roles that do not meet these criteria, and applications requiring sponsorship will not be considered.

Monday to Thursday 08:30 to 16:30 and Friday 08:30 to 15:00
- Contracted over 12 months, annualised working terms and conditions of 8 months full-time 36 hours per week from August to April, with leave of 4 months from April to August.
- Please note the salary is Pro Rata for part-time hours
Key responsibilities:
- Provide professional and comprehensive administrative support to the School Immunisation Team, ensuring the effective daytoday running of the service

Act as a first point of contact for telephone, email and facetoface enquiries, responding professionally and directing queries appropriately while maintaining confidentiality

Organise and support meetings and events, including diary management, preparation of documentation, minutetaking and followup of actions

Produce accurate correspondence, reports and data using NHS systems, maintaining a high standard of attention to detail at all times

Maintain efficient and uptodate electronic and paper filing systems in line with data protection, confidentiality and NHS policies

Accurately record, update and manage clinical and nonclinical data, including appointments and staff records, supporting service delivery

Work independently within agreed procedures while contributing positively as a reliable member of the wider multidisciplinary team
Knowledge, training, qualifications and/or experience required to do the job:
- Demonstrate competence in the use of standard IT systems and office software, including word processing, email, spreadsheets and electronic record systems

Bring experience of working in an administrative or officebased environment, with knowledge of general office procedures and systems

Show strong verbal and written communication skills, with the ability to interact professionally with colleagues, service users and external organisations

Work effectively both independently and as part of a wider team, using initiative to prioritise workload and solve routine problems

Maintain a good understanding of confidentiality, data protection and information governance within a healthcare setting

Be willing to undertake ongoing training and development, including participation in short courses or relevant qualifications such as SVQ in Administration

Apply organisational awareness gained through induction and experience to support service delivery and meet departmental standards
