Full job description

Finance Assistant

Role Overview

This role will be fixed term for 9 months initially as a Finance Assistant, you will support the day-to-day financial administration of the business, ensure the smooth operation of key finance processes and maintain the accuracy of financial records.

Reporting to the Financial Controller, you will play an integral role in managing transactional finance activities, supporting month-end processes, and contributing to the efficient running of the finance function. You will also provide general administrative support across the office as required.

Key Responsibilities

Payment Processor Reconciliations

· Perform routine reconciliations of high-volume payment processor accounts.

· Investigate and resolve discrepancies in a timely manner.

· Ensure all reconciliations are completed accurately and in accordance with internal controls.

Banking

· Prepare bank payments for authorisation by the Financial Controller.

· Post all banking transactions to the ERP system.

· Reconcile bank accounts weekly.

· Download, file, and maintain monthly bank statements.

Accounts Receivable

· Ensure timely invoicing of all customer orders.

· Monitor outstanding customer balances and manage credit control activities.

· Issue monthly customer statements and respond to account queries.

· Record customer receipts within the ERP system.

· Set up new customer accounts, ensuring all required information is accurately captured from the sales teams.

Cashbook Management

· Maintain accurate company cashbooks within the ERP system.

· Ensure all cash transactions are recorded promptly and correctly.

General Ledger

· Review financial data imported from multiple sales channels and systems.

· Maintain the accuracy and integrity of the general ledger.

· Ensure financial records comply with company policies and accounting procedures.

Supplier Payments

· Prepare weekly supplier payment schedules.

· Liaise with the Logistics team to ensure supplier discounts and credits are correctly applied prior to payment.

Month End Close

· Support the month-end close process by preparing journals and supporting schedules.

· Assist with general ledger reviews and balance sheet reconciliations.

· Provide support in the preparation of monthly management accounts.

Administrative Support

· Provide general administrative support to the office team as required.

· Assist with ad hoc projects and administrative tasks across the business.

Team Working

The responsibilities outlined above, together with other ad hoc duties as required, will be shared and rotated across the Finance team to ensure flexibility, cross-training, and continuity of support.

Person Specification

Essential Skills & Experience

· Previous experience in a finance, accounts, or bookkeeping role.

· Strong understanding of transactional accounting processes, including accounts receivable, bank reconciliations, and supplier payments.

· Experience using ERP or accounting systems.

· Good working knowledge of Microsoft Excel and Microsoft Office applications.

· Excellent attention to detail and high levels of accuracy.

· Strong organisational and time management skills.

· Ability to manage multiple priorities and meet deadlines.

· Effective communication skills with the confidence to liaise with colleagues, suppliers, and customers.

Desirable

· Experience within a retail, wholesale, or multi-channel business.

· Knowledge of stock accounting and inventory processes.

· AAT qualified or currently studying towards an accounting qualification.

· Experience supporting month-end management accounts preparation.
