About Us

Few venues in the world compare to the breathtaking setting of Harlaxton Manor. Set within 300 acres of formal gardens and woodland, overlooking the Vale of Belvoir, the Manor is a truly iconic destination for a college campus and study abroad programmes for students and faculty from the USA. We have been a college campus for American institutions since 1971 and we pride ourselves on delivering exceptional study abroad programmes.

The Role

Working within the Custom Programs & Partnerships Office to coordinate around 30 customised programs from US institutions, typically faculty-led university programs that take place mainly during the summer (May–August), at Harlaxton College each year. Custom programs are a major business area for Harlaxton and range in duration, subject matter, and support, but always the priority for these programs is to deliver a high-quality experience of the United Kingdom and of Harlaxton that fits the needs of the client. This role acts as the main contact for all stages of managing these programs from initial enquiry to budget management to logistics to on-the-ground support. You will also assist the Custom Programs & Partnerships Manager as needed with administrative support.

Key Responsibilities

Meet and maintain contact with institutions interested in sending custom programs to Harlaxton
Assist with the preparation of accurate and appealing program proposals with solid budgeting and itinerary plans for each
Manage, in conjunction with the Custom Programs & Partnerships Manager, custom programs finances, including individual program budgets and overall yearly profit and loss reporting
Create and manage contracts and deadlines for each program
Organise external logistics for programs once confirmed; this includes booking transportation (coaches, minibuses, trains), accommodation (hotels and hostels),and a wide variety of activities (tours, visits, museum admission, etc.)
Manage internal processes for ensuring quality experiences at Harlaxton for each group, which includes liaising with all other areas of the Harlaxton team
Act as the primary contact and first responder pre-departure and on-site for program leaders and students
Collaborate with others in the Custom Programs & Partnerships Office to delegate responsibilities during busy seasons

· Highly organised with excellent attention to detail

· Strong written and verbal communication skills

· A confident problem-solver who can think on their feet

· Friendly, approachable, and a strong team player

· Passionate about experiential learning with a strong knowledge of British Culture and with a desire to learn and grow

· IT proficient (Microsoft Office, email, and general admin systems)

Additional Information

37.5 hours per week
