Job Overview
We are looking for a proactive, organised and personable Executive Assistant to support one of our Financial Advisers.
This is a varied role within our growing wealth management practice and is much more than traditional administration. You will work closely with the Adviser to manage day-to-day workload, keep client work moving and make sure nothing gets missed.
The role will involve a combination of Executive Assistant responsibilities, client support and responding to technical queries, including preparing the majority of the Adviser's meetings, handing over outcomes after those meetings and working closely with our Client Servicing and Technical Administration teams.
We are looking for someone who enjoys taking ownership, is naturally organised and likes being the person who makes sure things get done. You will need to be comfortable managing competing priorities, communicating with clients and colleagues, and taking responsibility for seeing work through from start to finish.
This is a great opportunity for someone with experience in financial services who wants to develop their technical knowledge and become an important part of a friendly and growing team. Experience within a St James Place practice is preferred.
Responsibilities
- Manage and respond to the Financial Adviser's emails, taking ownership of actions arising from them and ensuring they are progressed appropriately.
- Support the Adviser with the day-to-day management of their workload and client commitments.
- Prepare for client meetings and ensure the Adviser has everything they need ahead of appointments.
- Attend selected client meetings where appropriate, take clear and comprehensive notes and provide accurate handovers to the wider team.
- Complete review meeting handovers to our Client Servicing team.
- Delegate appropriate administrative and technical tasks to our Technical Administration team and monitor their progress.
- Proactively manage and chase the Adviser's pipeline, making sure outstanding actions are followed up and cases continue to progress.
- Arrange presentation and follow-up meetings once paraplanning has been completed.
- Respond to technical queries
- Communicate with clients and professional contacts by telephone and email in a friendly, professional and confident manner.
- Handle confidential client and business information with discretion.
Experience
- Previous experience within financial services, wealth management, financial planning or a similar professional environment is preferred.
- Experience in paraplanning, adviser support or a technical financial services role would be highly advantageous.
- Strong organisational skills and the ability to manage several priorities and deadlines at the same time.
- Excellent attention to detail and a commitment to getting things right.
- Confident written and verbal communication skills.
- Comfortable dealing directly with clients and building professional relationships.
- Able to work independently, use your own initiative and take ownership of tasks rather than waiting to be told what to do.
- A good understanding of financial planning and a willingness to continue developing your technical knowledge.
- Good IT skills and confidence using Microsoft Office and client management systems.
- The ability to work collaboratively as part of a wider team.
- CII qualifications or a willingness to work towards professional qualifications would be advantageous.

- £35,000 starting salary (negotiable based on experience)
