What you'll be doing
We are looking for an organised and proactive Legal Administrative Assistant to join our Legal Services team. This is a varied and fast-paced role that provides essential administrative support to legal professionals, helping to ensure the efficient delivery of legal services across the Council.
You'll be responsible for a broad range of administrative tasks, including managing legal case files, processing incoming correspondence, preparing court bundles and legal documents, arranging the issue of court summons, and maintaining accurate records and case management systems. The role also includes financial administration, such as processing invoices, raising purchase orders, managing court fee payments, and ensuring compliance with the Council's financial procedures.
As part of the role, you'll maintain the deeds and archives systems, ensuring documents are stored, indexed, retained and retrieved in line with legal requirements and the Council's records management policies. You'll also produce management information reports, contribute to the ongoing development and maintenance of administrative systems, and help ensure information is accurate and up to date.
Working under the supervision of the Legal Services Improvement Manager, you'll play an important part in supporting the day-to-day operation of the Legal Services team. You'll also provide guidance and training to new administrative colleagues and support new employees in using the Council's case management systems.
This is a public facing role so you’ll need to show off your fluency in speaking and writing English.

What we expect from you
We're looking for an organised, reliable and proactive individual with experience of working in a busy office or administrative environment. You'll be confident managing a varied workload, prioritising tasks effectively and maintaining a high standard of accuracy, even when working to competing deadlines.
You'll have excellent communication skills, both written and verbal, with the ability to build positive working relationships with colleagues, clients and members of the public. You'll be comfortable dealing with enquiries in a professional, sensitive and tactful manner, ensuring that policies, procedures and legal requirements are followed at all times. A confident telephone manner and strong customer service skills are essential.
You'll be confident using Microsoft Office applications, including Word and Excel, and have experience of maintaining accurate manual and electronic records, producing documents and reports, and entering data with a high level of accuracy. You'll also be able to understand and follow financial processes and procedures and appreciate the importance of attention to detail when handling documentation and administrative processes.
You'll be able to work effectively both independently and as part of a team, using your own initiative while following established procedures. A methodical approach, excellent organisational skills and the ability to work with minimal supervision will help you succeed in this role. You'll also share our commitment to equality, diversity and inclusion and understand the importance of treating everyone with fairness and respect.
You'll hold GCSEs or equivalent qualifications or experience and be able to undertake the physical requirements of the role, including retrieving and carrying files and deeds from storage areas when required.
