Job Overview
We are seeking an organised, proactive, and conscientious Office and Operations Coordinator to manage the day-to-day running of our office and support project delivery across our construction and engineering projects. We are keen to fill this role as soon as possible, and the successful candidate would ideally start within 2-4 weeks.
This is a varied role involving office management, project administration, labour coordination, purchasing, and operational support. You will work closely with administrative staff, project teams, site personnel, and suppliers to ensure that people, materials, equipment, and documentation are in the right place at the right time. You will take an active role in the management of company accounts and assets.
The successful candidate will be comfortable managing several priorities at once, communicating with a wide range of people, and taking ownership of tasks from initial request through to completion.
Key responsibilities
Office management
- Assist with phone and email enquiries.
- Manage office supplies and ensure the office operates efficiently.
- Maintain company records, trackers, and databases.
- Coordinate regulatory compliance administration and document control processes.
- Assist with general purchasing administration, including liaising with suppliers and raising purchase orders.
- Take an active role in the management of company accounts using Quickbooks (in-house training provided).
- Proactively identify opportunities to improve processes and efficiency and implement these solutions.
- Support recruitment and onboarding administration.
- Assist with administrative support within all areas of the business.
Labour coordination
- Coordinate labour requirements across multiple live and upcoming projects.
- Source and arrange suitable labour for projects.
- Arrange accommodation for site personnel when required.
- Act as a point of contact for operatives, answering day-to-day questions and resolving issues where possible.
- Maintain accurate records of labour allocations, availability, and project movements.
- Communicate changes to operatives and project teams promptly.
Operational support
- Assist project teams with preparing materials and equipment lists for live and upcoming projects.
- Obtain and compare quotations and confirm prices, availability, and delivery dates from suppliers.
- Identify potential delays or shortages early and communicate with the project team to help source suitable alternatives.
- Coordinate deliveries with project and site teams.
- Maintain clear and accurate purchasing, delivery, and on/off-hire records.
- Interface with the company’s asset management system (in-house company training provided) as required.
Project documentation
- Prepare and organise necessary documentation before a project commences.
- Check that required documents are complete, current, and correctly filed.
- Assist with writing and formatting project documents using information supplied by project managers and other team members.
- Maintain up-to-date labour, plant, and equipment logs for each project.
- Provide general administrative support throughout the lifecycle of each project.
Additional duties
As this is a varied operational role, you may also be asked to undertake other reasonable responsibilities that support the effective delivery of our projects and the wider business.
About you
You will be highly organised, approachable, and able to remain calm when priorities change. You will take pride in following tasks through and making sure important details are not missed.
Ideally, you will have:
- Previous experience in office management, accounts, project coordination, labour coordination, purchasing, construction administration, or a similar operational role.
- Strong prioritisation, organisational, and time-management skills.
- The ability to manage several projects, orders, and deadlines simultaneously.
- Confident telephone and written communication skills.
- Good attention to detail and accurate record-keeping.
- Experience using Microsoft and Google Suite products.
- The confidence to speak with site personnel, suppliers, and internal project teams.
- A practical, solutions-focused approach.
- The ability to work independently while contributing to a wider team.
- Experience within construction, engineering, plant hire, or a related industry would be advantageous.
- Accounts experience and experience with accounting software such as Quickbooks.
We are keen for the successful candidate to start at their earliest availability, ideally within 2-4 weeks.
