FACILITIES COORDINATOR
As Facilities Coordinator, you will support the Senior Facilities Manager and the wider team in delivering a high-quality workplace experience across a varied property portfolio. You will provide support to the teams and sites across the estate as required. You will play a key role in ensuring the support hub remains safe, compliant, welcoming and efficient while acting as a central point of contact for facilities-related enquiries and operational activities This role reports into the Senior Facilities Manager
Key Responsibilities
- Support the day-to-day delivery of facilities management services across multiple sites
- Assist in maintaining a safe, secure, clean and compliant workplace environment for all Support Hub users.
- Build strong relationships with internal customers and stakeholders, providing guidance on facilities-related matters and good workplace practices.
- Assist with the management of Support Hub maintenance activities, ensuring planned and reactive works are completed effectively and within required timescales.
- Liaise with contractors and service providers to ensure works are completed safely and to the required standards.
- Maintain Support Hub standards, records, procedures and compliance documentation.
- Support fire evacuation procedures, health and safety requirements and building compliance activities at the Support Hub.
- Ensure health and safety information is displayed and communicated appropriately throughout the Support Hub
- Manage and update facilities management systems and records to support operational effectiveness
- Respond to requests received through shared mailboxes and facilities help desk functions.
- Assist with meeting room setup and hospitality requirements where required.
• Work collaboratively with Maintenance, Health & Safety and operational teams to ensure effective service delivery. • Manage within budget the ordering of shop & support hub equipment/items where needed • Ownership of the Support Hub lock down procedure and rota • Ensure all new joiners for support hub have induction training including , fire safety, lock down ,room bookings, car parking and lunch ordering.
What you will need
- Experience working within a facilities' management, workplace, estates or building services environment.
- Good understanding of health, safety and hygiene requirements, including manual handling and workplace safety practices.
- Experience engaging with a wide range of stakeholders and building users.
- Strong communication skills with the ability to influence and engage customers on operational and facilities-related matters.
- Excellent organisational and time management skills with the ability to manage competing priorities across multiple sites.
- Experience coordinating contractor activities and ensuring safe systems of work are followed. INDHEADOFFICE
