Job overview

This role supports the delivery of high-quality paediatric diabetes care by providing administrative and operational support to the diabetes specialist team. Working closely with Diabetes Specialist Nurses, consultants, and the wider multidisciplinary team, the post holder helps coordinate the patient pathway from diagnosis through to transition into adult services. The role acts as a central point of contact for patients, families, and external suppliers, while maintaining accurate records, supporting clinics and training activities, and contributing to audits and national reporting. This ensures services are delivered efficiently and in line with national standards and best practice guidelines.

Main Duties of the Job

Provide high-quality administrative and operational support to ensure the efficient running of the paediatric diabetes service.
Act as a key point of contact, coordinating communication between patients, families, clinicians, and external suppliers.
Lead the coordination of insulin pump and CGM processes, ensuring timely ordering, tracking, and patient access to equipment.
Maintain and take ownership of accurate patient records, data systems, and reporting, ensuring compliance with information governance standards.
Coordinate clinics, training sessions, and patient pathways, supporting seamless care from diagnosis through to transition into adult services.
Contribute to service performance and improvement by supporting audits, national reporting, stock management, and identifying efficiencies.

A core aspect of the role includes coordinating the provision of diabetes technology, such as insulin pumps and continuous glucose monitoring (CGM) systems. This involves managing ordering processes, tracking equipment, liaising with suppliers, and ensuring patients receive timely access to devices and associated consumables. The post holder will also support the coordination of training sessions for both patients and staff, ensuring all resources, equipment, and documentation are available and well organised.

The post holder will take ownership of maintaining accurate and up-to-date patient records, databases, and reporting systems, ensuring compliance with NHS information governance and data protection standards. This includes supporting the collection and submission of data for national audits and quality initiatives, contributing to service performance monitoring and continuous improvement.

The role will support the coordination of the full patient pathway, from diagnosis through ongoing management to transition into adult services. This includes working closely with the multidisciplinary team to ensure care is delivered in line with national standards, including Best Practice Tariffs, NICE guidance, and national audit requirements.

In addition, the post holder will provide non-clinical technical support to patients using diabetes devices, assisting with basic setup, data downloads, and troubleshooting where appropriate. The role requires a patient-centred approach, supporting individuals and families to engage with their care and develop confidence in self-management.

The post holder will also be responsible for monitoring and maintaining stock levels of clinical and administrative supplies, ensuring resources are readily available to support service delivery. They will contribute to audit activity, service development, and quality improvement initiatives, identifying opportunities to improve efficiency and patient outcomes.

The role requires flexibility and the ability to adapt to changing service demands, including supporting clinics, virtual services, and training across different settings. The post holder will be expected to prioritise their own workload effectively, meet deadlines, and demonstrate a commitment to high standards, continuous learning, and improvement within the service.
