Customer Service AdministratorSmart Corporate Stays Ltd

Location: Chesterfield Office (Office-Based)

Job Type: Full-Time

Salary: £24,000 - £30,000 per annum (depending on experience)

Hours: Monday – Friday with occasional weekend support during busy periods

We are looking for an organised, customer-focused Customer Service Administrator to support our growing portfolio and ensure an outstanding guest and client experience.

Key ResponsibilitiesCustomer Service

Handle incoming enquiries via phone, email, WhatsApp and online booking platforms.
Respond promptly to guest and client requests.
Manage guest check-in and check-out communications.
Resolve customer complaints professionally and efficiently.
Maintain excellent customer satisfaction levels.
Escalate urgent guest issues immediately where required.

Booking Administration

Process and manage bookings across multiple platforms.
Confirm reservations and ensure all guest details are accurate.
Update booking systems and internal CRM records.
Coordinate with the reservations and operations teams.
Ensure booking information is accurate and communicated to all relevant parties.

Property Operations Support

Liaise with cleaners, handymen and maintenance contractors.
Schedule cleaning, maintenance, inspections and compliance checks.
Monitor property readiness before guest arrivals.
Assist with inventory management and property compliance records.
Coordinate emergency maintenance issues and contractor attendance.

Cleaning & Contractor Coordination

Allocate cleaning assignments accurately to cleaners.
Schedule check-out cleans, deep cleans, mid-stay cleans and emergency cleans.
Confirm cleaner attendance before each scheduled clean.
Monitor completion of cleaning jobs and ensure service standards are met.
Ensure all properties are guest-ready before arrival.
Coordinate with cleaning teams and contractors to resolve issues promptly.
Escalate staffing shortages or scheduling conflicts immediately.
Maintain accurate cleaning schedules and records.

Administrative Duties

Maintain accurate customer and property records.
Prepare reports and spreadsheets for management.
Assist with document preparation and filing.
Support the wider operations team with daily administration tasks.
Maintain compliance documentation and operational records.

Client Relationship Management

Build positive relationships with landlords, corporate clients and guests.
Conduct follow-up calls and feedback surveys.
Identify opportunities to improve customer experience and retention.
Support the delivery of exceptional guest experiences.

Essential Requirements

Excellent verbal and written communication skills.
Strong organisational and time-management abilities.
Ability to multitask and prioritise workload.
Professional telephone manner.
Strong attention to detail.
Competent in Microsoft Office (Word, Excel and Outlook).
Customer service experience (minimum 1 year preferred).
Ability to work independently and as part of a team.
Ability to remain calm under pressure and solve problems proactively.

Desirable Skills

Experience within serviced accommodation, hospitality, property management or lettings.
Experience using CRM systems.
Knowledge of Airbnb, Booking.com and other booking platforms.
Experience dealing with contractors, cleaners and maintenance scheduling.
Understanding of guest communication and hospitality operations.

Key Performance Indicators (KPIs)Customer Service

Customer response time under 30 minutes during working hours.
Guest satisfaction score above 4.8/5.
Customer complaints acknowledged within 30 minutes.
Customer complaints resolved within 48 hours where possible.

Booking Administration

Booking administration accuracy above 98%.
Check-in communication sent 100% on time.
Guest information recorded accurately.

Cleaning & Operations

Zero missed cleaning allocations.
Zero incorrect cleaner allocations.
100% of cleaning jobs allocated before deadline.
100% cleaner attendance confirmation before guest arrival.
100% property readiness for guest check-in.
Maintenance issues allocated within 24 hours.
Compliance and inspection records maintained accurately.

Team & Administration

Daily task completion rate above 95%.
Accurate record keeping and reporting.
Positive feedback from guests, clients and contractors.
