We are looking for a highly organised and analytical individual to join our Retail Operations team. This is an exciting opportunity to play a key role in fuel availability, commercial reporting, process improvement, and the development of our future fuel ordering systems.
The Role
As Fuel Lead & Operations Analyst, you will be responsible for ensuring fuel availability across our retail estate, supporting reconciliation processes, developing fuel ordering capabilities within Microsoft Dynamics, and delivering meaningful operational insight to Regional Managers and senior stakeholders.
This role offers a unique blend of fuel operations, commercial analysis, stakeholder management, retail communications, and continuous improvement within a fast-paced retail environment.
Key Responsibilities
Fuel Ordering & Stock Management
- Manage the end-to-end fuel ordering process across the retail estate.
- Monitor tank levels, sales performance, ullage, delivery schedules, and site demand to determine fuel requirements.
- Balance stock availability, delivery efficiency, and working capital requirements.
- Liaise with suppliers, hauliers, Area Managers, and site teams to resolve delivery issues and stock risks.
Fuel Reconciliation & Supplier Management
- Support fuel reconciliation activities by validating orders, deliveries, invoices, and site data.
- Investigate discrepancies and ensure accurate records are maintained.
- Support supplier account management and audit-ready reporting.
- Identify recurring issues and recommend process improvements.
Microsoft Dynamics Development
- Support the ongoing development of Microsoft Dynamics as the primary fuel ordering platform.
- Assist in designing efficient workflows covering demand planning, approvals, delivery tracking, and reconciliation.
- Participate in testing, troubleshooting, and implementation of process improvements.
- Help transition the business away from manual spreadsheet-based processes.
Operational Reporting & Analysis
- Produce weekly sales analysis covering fuel, shop, and car wash performance.
- Create site-specific reports to support operational reviews and decision-making.
- Deliver actionable insight to Regional Managers and senior stakeholders.
- Identify trends, risks, and opportunities across the retail estate.
Retail Communications
- Coordinate and support the production of the Retail Bulletin.
- Create clear, concise communications for site teams covering promotions, compliance, and operational priorities.
- Ensure consistent communication of business updates across the estate.
Process Improvement & Business Support
- Improve reporting, fuel ordering controls, and reconciliation processes through automation and improved data management.
- Utilise Excel, Power Query, and reporting tools to enhance efficiency and reduce manual administration.
- Support wider retail operations through data analysis and practical problem-solving.

Desirable Skills & Experience
- Experience within fuel retail, forecourt retail, logistics, supply chain, or convenience retail environments.
- Knowledge of fuel ordering, stock management, or reconciliation processes.
- Experience using Microsoft Dynamics or similar ERP systems.
- Experience with Power Query and process automation.
- Understanding of retail operational reporting and KPI analysis.
