We're looking for a motivated, organised, and proactive Office Coordinator to join our growing team. This is a varied role offering real ownership, combining office administration, workshop coordination, vehicle sourcing, and vehicle sales support.
The Role
As our Office Coordinator, you'll play a key role in the day-to-day running of the business, ensuring the workshop operates efficiently while supporting vehicle purchasing and sales activities.
Key Responsibilities
- Coordinate workshop workflow and job scheduling.
- Source vehicles from auctions, dealerships, trade contacts, and private sellers.
- Assist with buying and selling vehicles, including preparing adverts, responding to enquiries, and arranging viewings.
- Manage vehicle listings across online sales platforms.
- Order vehicle parts and maintain supplier relationships.
- Organise transport and logistics for vehicle collections and deliveries.
- Complete risk assessments and ensure transport compliance.
- Download and manage Digital Tachograph records.
- Organise HGV inspections and maintain operator licence compliance.
- Keep accurate records of vehicle tax, MOTs, servicing, and documentation.
- Liaise with customers, suppliers, transport providers, and workshop staff.
- Provide general administrative support to ensure the smooth running of the business.
About You

- Comfortable using Microsoft Office and computer systems.
- Interested in the motor trade, commercial vehicles, or transport industry.
Desirable Experience
- Vehicle sourcing or buying experience.
- Vehicle sales or automotive industry experience.
- Workshop or transport administration.
- Fleet management or logistics.
- Customer service and office administration.
Requirements
- Full UK Driving Licence (essential).
- GCSEs or equivalent (preferred).
- Previous administration or customer service experience.
- Strong organisational and communication skills.
- Ability to commute to Bicester or relocate before starting work.
