We are now looking for a friendly, organised and dependable Administrator & Accounts Executive to become an important part of our small and busy team.
The Role
This is a varied, hands-on position suited to someone who enjoys organisation, working with customers and taking responsibility for the day-to-day administration and accounts functions of a business.
The role will cover several areas of the company, including accounts administration, credit control, customer service, service coordination, purchasing and general office management.
Previous accounts experience is essential for this position. We are looking for someone who is confident dealing with invoices, customer and supplier accounts, payments and credit control, rather than someone looking for a purely administrative role.
As a small business, we work closely as a team, so we are looking for someone who is comfortable taking ownership of their responsibilities while also being willing to help colleagues when required.
Key Responsibilities
- Carrying out day-to-day accounts administration
- Raising and processing customer invoices
- Processing supplier invoices and maintaining accurate records
- Managing customer accounts and allocating payments
- Carrying out credit control and following up outstanding invoices
- Assisting with purchase ledger and sales ledger administration
- Handling supplier statements and account queries
- Assisting with purchase orders and supplier administration
- Maintaining accurate financial and customer records
- Answering incoming telephone calls and handling customer enquiries in a friendly and professional manner
- Providing day-to-day support to customers via telephone and email
- Welcoming and assisting customers visiting our Eastbourne office
- Managing and administering our internal service system
- Logging customer service calls and coordinating engineer appointments
- Ordering parts, consumables and equipment from suppliers
- Processing customer orders for toner, stationery and other office supplies
- Maintaining customer information within our internal systems
- Carrying out printing and document requirements for walk-in customers
- Supporting the management team with general administration
- Helping ensure the office remains organised, presentable and running efficiently
About You
We are looking for someone who is:
- Experienced in day-to-day accounts administration
- Confident dealing with invoices, customer accounts, supplier accounts and credit control
- Comfortable working with financial information and maintaining accurate records
- Friendly, approachable and confident dealing with customers
- Highly organised with strong attention to detail
- Reliable and comfortable taking responsibility for their work
- Able to prioritise multiple tasks within a busy office environment
- Confident communicating by telephone and email
- Comfortable working independently as well as within a small team
- Competent using Microsoft Office and general computer systems
- Willing to learn new systems and processes
- Happy working within a small business where responsibilities can sometimes extend beyond a traditional job description
Previous accounts experience is essential. Applicants should ideally have at least one year's practical experience within accounts, bookkeeping, credit control or a similar finance-related administrative role.
Experience using accounting software would be highly advantageous, although a formal accounting qualification is not required.
Previous general administration and customer service experience is also preferred.
Experience within our industry is not required, as full training will be provided.
