As we expand across Hertfordshire and, over time, throughout the UK, we are seeking a dependable Administrator to support customer enquiries, survey bookings, project records and daily office operations.

The Role:
As the Administrator, you will support customers and help the wider team deliver renewable energy projects efficiently. You will often be the first contact for customers requesting a survey, gathering the correct information, explaining next steps and arranging appointments. You will work closely with the Director, Project Manager, Sales and Installation teams. This is an administration and customer-service role rather than a direct sales role. Your responsibilities include:
- Customer Enquiries & Survey Bookings: Answer calls and emails, gather essential customer and property details and book survey appointments accurately.
- Diary & Appointment Management: Maintain diaries, issue confirmations and reminders, manage changes and ensure the relevant team members have accurate information.
- CRM & Data Management: Create and update customer records, log communications and keep project statuses complete, consistent and accessible.
- Project Administration: Prepare job folders, organise documents, track actions and support handovers between sales, surveying, project management and installation teams.
- Customer Communication: Provide courteous updates, answer routine questions and refer technical or commercial enquiries to the appropriate colleague.
- Document Control & Compliance Support: Prepare, send, file and track quotations, contracts, forms, reports, warranties and renewable energy documents as trained.
- Team & Subcontractor Support: Assist with schedules, meeting notes and information requests so employees and subcontractors can work efficiently.
- Office & Procurement Administration: Order supplies, track deliveries and maintain supplier, purchase-order and stock records where required.
- Basic Finance Administration: Organise invoices, receipts, expenses and payment records for management or the company accountant.
- Continuous Improvement: Suggest practical improvements to filing, customer communication, templates, CRM use and administrative processes.
Skills & Experience Required:
- Administrative or Customer Service Experience: Previous office, administrative or customer-facing experience is preferred. Strong transferable skills will also be considered.
- Punctuality & Reliability: Arrives on time, meets deadlines, follows through on commitments and can be relied upon during busy periods.
- Organisation & Time Management: Prioritises tasks, manages several enquiries and appointments and maintains accurate records.
- Communication Skills: Communicates professionally by telephone, email and in person, with strong written English.
- Customer Service: Patient, helpful and calm, with the ability to listen carefully and explain processes clearly.
- Attention to Detail: Checks names, addresses, dates, documents and system entries to prevent errors and delays.
- IT Proficiency: Confident using Microsoft Office, Google suite, shared calendars, cloud documents and CRM systems and willing to learn new software.
- Initiative & Problem Solving: Recognises what needs doing, asks sensible questions and takes appropriate action.
- Teamwork & Adaptability: Supports colleagues, responds positively to changing priorities and remains calm in a fast-growing environment.

Schedule:
- Working Hours: Monday to Friday, 9:00 am – 5:00 pm, with a 30-minute lunch break.
- Office-Based Role: Your normal place of work will be the Sola office at iMex Centre, 575-599 Maxted Road, Hemel Hempstead, HP2 7DX.
- Total Weekly Hours: 37.5 hours.
- Occasional Site visits: You may occasionally need to attend a customer’s house or a site Sola is working on, particularly as part of your training to understand how our business operates. You may also occasionally attend related events in the industry with colleagues to meet suppliers and to better understand how the industry operates.
