About the role
We are looking for an organised, proactive and approachable Executive Assistant to provide trusted support to our CEO and senior leadership team.
This is a varied role for someone who enjoys keeping people organised, coordinating important business activities and making sure actions are completed. Alongside executive support, you will help with business reporting, tender drafts, HR administration and the coordination of our ISO 9001 and ISO 27001 systems. You will also provide light administrative support for workplace health and safety.
Experience using AI or automation tools would be helpful, but it is not required. Training can be provided to someone interested in learning how technology can improve administrative processes.
If you're looking for a varied and rewarding role where your skills will make a real difference, we'd love to hear from you.
What you will be doing:
- Manage the CEO’s diary, meetings, appointments and occasional UK travel.
- Prepare agendas, presentations, meeting papers and briefing information; attend meetings, take accurate minutes and follow up agreed actions.
- Draft emails, letters and other communications for the CEO, and respond to clients, employees, suppliers, advisers and other stakeholders on the CEO’s behalf when asked.
- Liaise professionally with clients, act as a helpful point of contact and handle confidential or commercially sensitive information with discretion.
- Compile business reports, management information and board packs, gathering information from colleagues and following up missing or overdue items.
- Help prepare first drafts of tenders, bids, proposals and supplier questionnaires; coordinate supporting information, deadlines and submissions.
- Coordinate and support business projects from initiation to completion, tracking progress, following up actions, managing deadlines, identifying risks, and ensuring key deliverables are achieved.
- Support the administration of our ISO 9001 and ISO 27001 management systems, including controlled documents, audit evidence, reviews and action tracking.
- Coordinate HR administration in line with our internal processes and guidance from our external HR provider, including recruitment, onboarding, records, absence, probation and leaver processes.
- Provide light health and safety administration, including maintaining records, certificates and renewal schedules and arranging routine checks or training renewals.
- Identify opportunities to simplify administrative processes using templates, workflows, automation or approved AI tools.
- Contribute to a positive, collaborative culture that reflects and supports company values.
Please note: the role does not require independent HR, legal, information-security or health and safety advice. Specialist guidance is available from our external advisers.
