Part Time | Hybrid | Wallingford (OX10) | £26,000 - £30,000 FTE (pro-rated) + Profit Share
Help keep our practice running brilliantly.
At Directive Finance, we're building a different kind of accountancy practice.
We're a modern, cloud-based firm based in Wallingford, supporting ambitious business owners with proactive bookkeeping, management accounts, payroll and tax services. As we've grown, we've reached the point where we need someone who loves organisation, thrives on keeping things moving and genuinely enjoys helping clients.
This isn't an accounting role.
Instead, you'll become the engine room of our practice, making sure new clients are onboarded smoothly, records arrive on time, jobs keep moving and nothing falls through the cracks.
If you're highly organised, naturally proactive and not afraid to politely chase clients when needed, we'd love to hear from you.
The Role
As our Client Success & Practice Coordinator, you'll take ownership of the operational side of the practice, allowing our accountants and bookkeepers to spend more time doing what they do best.
You'll become the first point of contact for many of our clients and play a key role in ensuring deadlines are met and work flows efficiently across the team.
No two days will be the same, and you'll have genuine ownership of your role from day one.
Key Responsibilities
You'll be responsible for:
- Managing the onboarding process for all new clients from engagement through to completion
- Chasing outstanding onboarding items including ID checks, HMRC agent authorisations and software access
- Proactively requesting bookkeeping records, payroll information and VAT documents ahead of deadlines
- Managing the "records requested" workflow to ensure nothing becomes overdue
- Keeping our Practice Management Software accurate, assigning work and updating job statuses
- Running regular workflow reviews to identify overdue or stalled jobs
- Preparing simple workflow and overdue reports for the team
- Acting as the first point of contact for general client enquiries
- Supporting credit control and payment administration
- Assisting with day-to-day office management, including ordering supplies and coordinating contractors
- Supporting wider practice projects as the business continues to grow
What We're Looking For
We're much more interested in attitude than accountancy qualifications.
You'll thrive in this role if you are:
- Highly organised and able to manage lots of moving parts
- Confident picking up the phone and chasing clients professionally
- Assertive, persistent and comfortable following things through to completion
- Friendly, approachable and focused on delivering excellent client service
- Comfortable learning new systems and technology
- Proactive - you notice when something isn't moving and take ownership without waiting to be asked
Experience within accountancy, recruitment, legal, financial services, customer success or office management would all be beneficial, but isn't essential.
What Success Looks Like
Within your first 3–6 months:
- New clients enjoy a smooth onboarding experience
- Outstanding records are chased proactively and deadlines are met
- Our Practice Management Software is always accurate and up to date
- The team spends less time chasing and more time delivering work
- Clients receive prompt, professional communication
- Workflows run more smoothly and nothing falls through the cracks
