Job Title: HR / Personnel Coordinator

We are seeking a highly organised and proactive HR/Personnel Coordinator to support our production and operational teams in all aspects of personnel administration, recruitment, training and compliance.
Role Overview:
As HR/Personnel Coordinator, you will play a pivotal role in managing HR administration for our production staff. You’ll ensure smooth day-to-day HR operations, support recruitment efforts, maintain accurate personnel records, and assist in enforcing company policies and standards. Working closely with the Production Managers, your contribution will directly support workforce efficiency, employee engagement and compliance with employment and Health & Safety regulations.
Key Responsibilities:
1. Production Personnel Administration
- Co-ordinate overtime planning with production departments (Extrusion, Conversion and Print)
- Maintain and issue overtime lists and reports
- Monitor daily attendance, including clocking amendments and absenteeism tracking, highlighting repeat offenders to management
- Organise absence meetings and complete relevant HR documentation (e.g. HRDOC 34)
- Maintain and update Tensor system for holidays, absenteeism and overtime
- Issue relevant documents from Tensor for Finance Department/Payroll and deal with queries
- Manage holiday approval process, ensuring timely communication and updates
- Oversee locker allocation and maintenance
- Track employee service milestones and arrange appropriate recognition (e.g. gifts)
2. Recruitment & Onboarding
- Maintain optimum shift levels
- Work alongside approved Agency providers
- Conduct initial recruitment screenings, interviews and compliance checks (Right to Work, Medical History, Assessments etc)
- Prepare and process starter packs and onboarding checklists
- Ensure ETI standards and internal Payroll policies are followed
- Manage leaver documentation and formal exit communication
- Oversee uniform distribution and control
3. Inductions & Training
- Facilitate and document staff inductions (temporary to permanent)
- Maintain individual training records and identify overdue modules
- Support new training content in collaboration with Production Managers
- Assist with performance reviews and follow-ups
- Co-ordinate mandatory Health & Safety refresher sessions and related risk assessments
4. Attendance, Conduct & Disciplinary
- Monitor and investigate attendance patterns using CCTV and Tensor clocks
- Begin the initial investigation of out of office hours behaviours
- Support management with disciplinaries, following company processes, and maintain accurate history logs
5. Reporting & HR Procedures
- Produce weekly hours reports for KPI tracking
- Ensure employee handbook is reviewed annually or updated as needed
- Maintain accurate records of HR forms and documentation
- Conduct agency audits and ensure assignment summaries are up-to-date and signed
6. Health & Safety
- Assist with initial investigations of incidents and support claim-prevention processes
- Maintain Health & Safety register and ensure all checks (e.g. fire extinguishers, blades, lighting) are completed and up to date
7. Quality & Stock
- Provide support for quality compliance checks
- Replenish documentation
- Manage stock for the store room as needed
8. Ad Hoc Projects
- Support special HR or operational projects as required by the Finance Director or production teams
Skills & Experience:
Essential:
- Experience in a manufacturing or industrial environment, ideally in HR or personnel coordination
- Strong understanding of employment compliance, attendance systems and recruitment processes
- Proficiency with HR documentation, record-keeping and Microsoft Office Suite
- Excellent organisational and communication skills
- Able to manage confidential and sensitive information appropriately
Desirable:
- Experience using Tensor or similar clocking systems
- Familiarity with agency labour management and ETI standards
- Working knowledge of Health & Safety procedures and incident investigation
Pay: £28,000.00 per year
