Charity Overview:

Reminiscence Learning is a regional and national multi-award-winning registered charity specialising in dementia care, activity and reminiscence. Since 2003 we have worked to ensure that a diagnosis of dementia does not mean an end to a fulfilling life. We specialise in using reminiscence, activity and training to help build a dementia inclusive community.

Role overview:

We are seeking an organised, proactive and experienced Administrative Manager to oversee the operational and strategic development of the charity, ensuring the effective and efficient running of Reminiscence Learning. The role is a combination of high-level administration with business strategy responsibility ensuring the charities operational, financial and business practices are fit for purpose.
The successful candidate will ensure that office systems, administrative processes, facilities, records and support services run smoothly, efficiently and in line with organisational policies. This role is ideal for someone who enjoys leading teams, improving processes and providing high-quality support across a busy working environment.

Key responsibilities:

· Manage the daily administrative function, ensuring efficient office operations and consistent support for staff.

· Take a lead role in financial management.

· Support the CEO in the management of the Charity’s budget, prepare financial reports and ensure compliance with financial regulations.

· Provide high level support to the CEO ensuring effective planning and administrative systems are in place and maintained.

· Preparation of the financial statements as required and maintenance of Xero systems.

· Managing and undertaking payroll and personnel administration processes.

· Ensuring orders, payments and invoices are processes efficiently.

· Develop and maintain a schedule of delegated powers for sign off by the CEO and Board of Trustees.

· Oversight of health and safety documentation

· Manage the administration of recruitment procedures, including shortlisting, interviewing and selection, DBS check and Safeguarding training.

· Manage personnel records, contracts, recruitments, references and training requirements.

· Manage staff training records, booking training when due.

· Manage staff appraisals and supervisions records and book when due.

· Attend online or in person meetings on behalf of the CEO.

· Act as a key point of contact for staff, external partners, service providers and visitors.

You will be a dependable and professional administrative manager who can balance attention to detail with a practical, solutions-focused approach. You will be comfortable working with colleagues in a well-established team, helping to create an organised, welcoming and efficient workplace.

Experience

· Experience of managing and developing staff

· Experiences of project management and service delivery

· Experience of business planning, development and fundraising

· Financial management skills, including budgetary and managing income targets.

Skills & Knowledge

· Inspirational leadership, managerial and motivational skills

· Exceptional communication skills, both verbal and written

· Excellent business development and analytical skills

· Regulatory compliance knowledge, including safeguarding & safety standards.

Personal Attributes

· Empathy regarding the impact of dementia.

· Committed to best practice in delivering dementia awareness and support to community.

· Confident and positive with a drive for continual improvement

Desirable:

· Educated to degree level/ relevant professional qualification with evidence of CPD.

· Proven record of achievement in a senior position with a not-for-profit organisation.

· Experience of working with volunteers.

· A strong understanding of dementia and Reminiscence Learning’s Mission.

· A passion for improving the services available for people and their families experiencing dementia.

Pay: £27,000.00 per year
