Full job description

Job context

Stantonbury School is looking to recruit for an Inclusion Administrator, this person is a key member of the team and supports the work of the department with administration tasks as directed by the Special Educational Needs and Disability Coordinator (SENDCO). Efficient and effective administration helps our students who have special educational needs, disabilities, or academic needs to make good progress and to thrive in school.

Key responsibilities

● Assist the Inclusion Team and specifically the SENDCO with comprehensive administration support tasks and assistance.

● Work with the school community and external agencies to record and maintain accurate information and data relating to the SEND students.

● Support with the co-ordination and day-to-day management of academic interventions, primary for our Key Stage 3 students.

● Monitor and evaluate the impact of our interventions to ensure students are making progress and not attending interventions for longer than is required.

● To arrange the administration / organisation of special exam arrangements for SEND students and full coordination with the exams assessment team.

1. Data Management

● Perform bi-weekly cross-references between the internal SEND register and Bromcom/OPPs to identify any discrepancies or missing OPPs (which should be reported to SEND Officer).

● Lead the SEND Investigation Sheet; proactively request teacher feedback (Round Robins), carry out initial screenings, and ensure all evidence is recorded before referral meetings.

● Ensure all SEND documentation is securely scanned, filed, and uploaded to the SEND Drive or Provision Map.

2. Statutory Processes & Referrals

● Oversee the administration of the FACT process, including sending consent templates, collating staff feedback into single forms, and tracking parent responses.

● Calculate and track the 6-week monitoring deadlines for new referrals; ensure parents are notified via the correct templates when students are added or moved.

● Lead the collation of Exams Access Arrangements (EAA) evidence from teachers; coordinate with the external assessor and process applications on the Edexcel/JCQ websites.

● Supports with exams, particularly at the start of exams to ensure students are settled and have the correct support in place.

3. Operational Logistics

● Manage the Inclusion budget tracker; process all Purchase Requests (PROs) and ensure every expenditure is recorded accurately.

● Produce, review, and renew all part-time timetables; ensure the Inclusion Team are provided with half-termly updates.

● Track the monitoring of the SEND Support Plans, which is carried out by members of the Inclusion Team

● Oversee screenings for dyslexia, WellComm, and reading screenings as directed.

● Manage the allocation and tracking of laptops and coloured overlays.

● Carry out daily break and lunch duties and assist in the general upkeep and resourcing of the environment.

● Ensure laptops are being used effectively and manage this timetable - make staff aware of which students should be using laptops in lessons. This needs to be carefully monitored - if students are consistently using laptops appropriately, re-allocation may be needed.

4. Interventions Co-ordination

● Create and maintain an "Intervention Timetable", alongside the Inclusion teaching staff, that minimizes disruption to the core curriculum while ensuring students receive consistent support.

● Manage the allocation of intervention spaces, ensuring that small-group rooms and specialized learning zones are used efficiently.

● Use school data (e.g., CAT4 scores, SATs, reading ages, and internal assessments) to identify students eligible for intervention

5. Impact Monitoring & Quality Assurance

● Communicate with students, staff and parents to ensure that they know times and locations of any intervention sessions that students should attend

● Maintain attendance records for all intervention sessions and support with the investigation of any absences from scheduled interventions, working with other staff e.g. the attendance officer and pastoral teams to remove barriers to engagement.

● Produce weekly reports for the Senior Leadership Team (SLT) regarding attendance trends and the impact of the intervention program.

● Manage the workflow of "Assess, Plan, Do, Review" to ensure no student remains in an intervention longer than necessary or without measurable benefit.

● Maintain a central dashboard showing "before and after" data for students, demonstrating the impact on their reading ages, numeracy levels, or behavioural scores.

The role is 37 hours per week, term time only
