Permanent Full Time

Job Summary:

The Operations Administrator for Service and Maintenance is responsible for providing administrative support to the Operations Manager and Senior Operations Coordinator in managing and coordinating the scheduling and delivery of service and maintenance activities for Suction Excavators and R&G Group products.

This role requires strong organisational and communication skills to ensure smooth operations and timely completion of tasks. The Operations Administrator will work closely with the Operations team and Engineering to ensure efficient allocation of resources and customer satisfaction.

Duties/Responsibilities:

· Assist the Operations Manager and Senior Operations Coordinator in maintaining and updating the scheduling system for service and maintenance activities, ensuring accurate and timely information.

· Coordinate with the service and maintenance team to gather necessary information for scheduling, such as availability, skill sets, and equipment requirements.

· Assist in assigning tasks and scheduling work based on priority and customer requirements, liaising with customers to schedule service appointments under the guidance of the Operations Team Leader and Senior Operations Coordinator.

· Liaising with customers, suppliers, and internal teams to ensure smooth delivery operations and address any issues or concerns.

· Maintain and update records of service and maintenance activities, including work orders sales orders, quotations, GoCanvas, service reports, and customer feedback.

· Assist in coordinating with the procurement department to ensure the availability of necessary parts and equipment for service and maintenance tasks. Also coordinating with other departments such as Finance, Sales, and Engineering to ensure effective communication and coordination of service and maintenance activities.

· Assist in monitoring and tracking the progress of service and maintenance activities, ensuring adherence to schedules, and resolving any issues or delays.

Assist with stock take and deputise for Stock Controller where necessary.

Qualifications Skills and Attributes Required:

· GCSE 4 in English and Maths and administrative or technical certifications are desirable.

· Proven experience in an administrative role, preferably in a scheduling or coordination capacity.

· Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines.

· Excellent verbal and written communication skills, with the ability to interact with customers and internal stakeholders.

· Proficient in using scheduling software and other relevant tools to manage service and maintenance activities.

· Attention to detail and a commitment to delivering high-quality work.

· Ability to work in a fast-paced environment and adapt to changing priorities.

· Strong computer skills, including proficiency in Microsoft 365 products.

· Ability to work collaboratively in a team environment.

· Driving licence and own vehicle as office location is remote with no public transport access

(Knowledge of suction excavators and related products is desirable)
