We are seeking a highly organized and motivated Office Administrator to support the day-to-day operations of our busy removal company. The successful candidate will be responsible for customer service, scheduling, administration, sales support, logistics coordination, and general office management to ensure the smooth running of the business.
Key Responsibilities, Customer Service
- Answer incoming phone calls, emails, and online enquiries.
- Provide quotations for domestic and commercial removals.
- Assist customers with booking removals and storage services.
- Resolve customer queries and complaints professionally.
- Maintain excellent customer relationships throughout the removal process.
Scheduling & Logistics
- Schedule removal jobs and allocate crews and vehicles.
- Coordinate daily, weekly, and monthly work schedules.
- Monitor job progress and communicate updates to customers and crews.
- Plan routes and assist with logistical arrangements.
- Manage booking calendars and transportation schedules.
Administrative Duties
- Maintain accurate customer records and job files.
- Prepare contracts, invoices, and other business documents.
- Process paperwork related to removals, storage, and insurance.
- Organize and update company databases and filing systems.
- Perform data entry and maintain office records.
Sales & Business Development
- Follow up on quotations and leads.
- Support marketing campaigns and customer outreach activities.
- Build relationships with estate agents, businesses, and referral partners.
- Identify opportunities to increase bookings and revenue.
Financial Administration
- Prepare invoices and process customer payments.
- Track outstanding balances and follow up on overdue accounts.
- Assist with payroll administration and timesheets.
- Maintain accurate financial records and reports.
- Support bookkeeping and accounting functions when required.
Fleet & Equipment Coordination
- Maintain vehicle and equipment records.
- Schedule vehicle servicing, inspections, and maintenance.
- Monitor fuel usage and operational costs.
- Ensure compliance with company and transport regulations.
Human Resources Support
- Maintain employee records and documentation.
- Assist with recruitment, onboarding, and training administration.
- Monitor staff holidays, absences, and schedules.
- Support health and safety documentation and compliance.
Office Management
- Order office supplies and manage inventory.
- Ensure the office environment remains organized and efficient.
- Coordinate meetings and company communications.
- Assist management with reports, projects, and operational improvements.

Pay: £11,284.00-£23,436.80 per year
