An admin role where your real job is to teach AI to do it with you.
We're a fast-growing training agency — best known for health & safety, and increasingly trusted by our clients for much more. We're in the middle of an exciting transformation, and we're not looking for another administrator. We're looking for an AI Coordinator who wants to deliver brilliant customer support and completely reinvent how it's done.
No coding required — but a genuine fascination with AI is essential.
Who We Are
BOHSA is a training agency built on a simple promise: go above and beyond for every client and training partner. We made our name in health & safety, and these days our clients come to us for more and more — so we're branching out to meet them.
That promise hasn't changed. What has changed is how we deliver on it. We've recently begun a period of real expansion and we're rolling out a suite of new AI-powered products and systems that are reshaping our entire operation. Every part of the business is being rebuilt around artificial intelligence, and we want the right person to help lead that change from the front line — looking after our clients.
The Opportunity
Here's the honest, exciting version of this role. The day-to-day work is genuine customer support and administration — bookings, joining instructions, certifications, invoices, quoting, the lot. But your mission is different from any admin job you've had before.
Every time you complete a task, you'll be asking: how could AI do this with me, or for me? You'll work hands-on with AI agents and automations — training them, refining them, and putting them to work across the business. Over time, you'll coordinate a small team of AI agents that handle the routine, while you focus on the people, the problem-solving, and the growth.
In other words: you'll teach AI to do the repetitive parts of your role, which frees you to deliver far more value, take on bigger work, and grow as fast as the company does.
What You'll Do
The fundamentals will feel familiar to anyone who's worked in customer support. The difference is you'll be doing all of it through, and alongside, our AI tools and our own developing systems:
- Creating and amending bookings — and automating the repetitive parts
- Following up with clients to gather course requirements
- Making sure clients receive clear joining instructions before every course
- Handling morning calls and course updates, working with our AI voice tools
- Issuing and securely handling certifications
- Processing invoices and purchase orders accurately and on time
- Sending course reminders to keep attendance high
- Managing the training matrix for seamless coordination
- Handling post and day-to-day admin promptly
- Supporting clients by phone and email with care and judgement
- Creating quotes to provide the best options for our clients
…and for each of these, you'll be looking for the smarter, AI-first way to get it done — then building it.
Is This You?
You don't need to be technical. You won't be writing code, but you will need a genuine fascination with what AI can do and the drive to keep experimenting until you've made something work better.
- Genuinely excited by AI — you already play with AI tools for fun and can't wait to use them properly at work
- Detail-obsessed and organised — accuracy matters in our world and you take pride in getting the small things exactly right
- Great with people — warm, clear and calm on the phone and over email
- Comfortable with change — you thrive in a fast-paced, ever-evolving environment
- Full of initiative — you spot the repetitive task and think "there's a better way," then go and build it
- Keen to grow — you want a career, not just a job, and a front-row seat as the company expands
A year of administrative experience is a bonus, but your attitude and curiosity matter far more.
What You'll Get
You'll join an open-minded, supportive team at exactly the right moment — early enough to genuinely shape our systems and our future.
