Job Summary

Merebrook Consulting are seeking a highly organised and proactive Administration Assistant to support our office operations. The successful candidate will play a vital role in maintaining efficient administrative processes, managing correspondence, and providing exceptional support to the team. Business Summary

Merebrook Consulting is a well-established geoenvironmental consultancy supporting the construction and development sector. We specialise in the investigation and assessment of ground conditions, helping our clients deliver safe, sustainable, and compliant projects.

Our core services include the planning and delivery of site investigations, using a range of intrusive and non-intrusive techniques to collect environmental and geotechnical data, which is then used to produce clear, practical reports for our clients.

We are looking for a proactive and organised individual to provide administrative support to our site-based teams, helping to ensure projects run efficiently and documentation is managed effectively.

Duties

Manage incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring timely responses
Maintain and update electronic filing systems for easy retrieval of documents
Assist with data entry tasks using programmes such as Microsoft Office, QuickBooks, and Google Workspace
Support site based teams with procurement of services
Prepare reports, spreadsheets, and presentations as required
Schedule appointments and organise meetings, including booking venues and preparing agendas
Support invoicing and billing processes through QuickBooks or similar accounting software
Handle general administrative tasks such as photocopying, scanning, and maintaining office supplies
Ensure the office environment remains tidy and organised to promote productivity

Skills

Proven office experience with strong administrative skills
Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
Experience with data entry and clerical tasks with high accuracy and attention to detail
Strong organisational skills to prioritise tasks effectively in a busy environment
Good phone etiquette with the ability to communicate professionally via telephone and email
Typing speed of at least 60 words per minute for efficient document processing
Familiarity with Xero or similar accounting software is desirable but not essential
Ability to work independently while also being a team player
Previous experience in administrative roles or office environments will be advantageous
