Events Planner
Salary: £34,000 per annum
Role: Full time, hybrid (3 days in the office, 2 days remote)

The role – Events Planner
We are seeking a dynamic Events Planner to support the delivery of the ThoughtLeaders4 events programme. This is an exciting opportunity for someone looking to build on their career in event management and gain hands-on experience in a fast-paced environment.
You will be responsible for the end-to-end planning and delivery of both local and international events. This includes full ownership of the project lifecycle, from concept to execution, ensuring that timelines, budgets, and stakeholder expectations are met with precision and creativity.
You’ll report to the Head of Events and collaborate with internal teams, sponsors, speakers, and delegates. The role demands a confident, empathetic, and highly organised team player who thrives in a fast-paced environment and can juggle multiple projects simultaneously.
Key Duties – Events Planner

Independently manage the coordination of conferences and events, including event logistics, venue, catering, audiovisual requirements, branding, registration, travel arrangements, on-site set-up, and de-rig.

Assist the team in delivering larger conferences and flagship events.

Venue research: Source suitable venues, request proposals, and support the evaluation process. Assist with contract administration.

Supplier coordination: Management of suppliers, including venue, AV, entertainment, photography, and print.

Tracking and monitoring of venue and supplier costs, supporting the team to remain within budget.

On-site management: Management of venue and suppliers, and assisting with speaker requirements, delegate queries, and general troubleshooting to ensure smooth delivery.

Cross-team collaboration: Support event managers and wider teams across ThoughtLeaders4, including speaker and sponsor coordination, branding, and marketing deliverables.

Registration & platform management: Maintain the registration platform, track ticket sales, dietary requirements, and attendee communications, and support updates to event websites and platforms.

Post-event: Assist with feedback collection, reporting, and supporting budget reconciliation processes.

Event administration: Manage day-to-day administration, including delegate communications, registration management, and maintaining accurate records.
Do you have?

A degree (or relevant qualification) in event management.

Experience of 2+ years in a similar organisation i.e. events/legal industry.

A passion for events/managing events.

Good financial skills including budgeting /invoices/international VAT.

Strong interpersonal, verbal and written communication skills.

Strong organisational skills and attention to detail.

A strong understanding of Microsoft platforms including Excel, Word, PowerPoint.

Demonstrated ability to work to deadlines and independently.

Team player and highly collaborative with an entrepreneurial attitude.
