Full job description

We are seeking an organised, professional and reliable individual to join our team as a Clerk to Governors.

Successful candidates will provide administrative and procedural support to governing boards within schools and educational settings. The role will involve attending governance meetings, preparing accurate minutes, supporting meeting administration and helping governing boards operate effectively.

Previous experience as a clerk is preffered but is not essential, as full training will be provided. However, applicants should have strong administrative, communication and organisational skills and be willing to develop their knowledge of school governance.The work will be a combination of remote and in-person duties, depending on the needs of each client. Some travel to schools and other meeting venues will therefore be required. Approved travel expenses will be paid.

Key Responsibilities will include:

Preparing and distributing meeting agendas, papers and supporting documents.
Attending governing board and committee meetings, either remotely or in person.
Producing clear, accurate and impartial minutes.
Recording decisions, actions and responsibilities arising from meetings.
Supporting the Chair and governing board with meeting arrangements.
Maintaining appropriate governance records and documentation.
Monitoring agreed actions and following up with relevant individuals.
Providing administrative support before, during and after meetings.
Helping to ensure that meetings are conducted in accordance with relevant procedures and governance requirements.
Maintaining confidentiality and handling sensitive information appropriately.
Undertaking training and keeping knowledge of school governance practices up to date.

Meetings may occasionally take place during the evening, so applicants should have some flexibility regarding working hours.

Skills and Experience:

Strong written English and the ability to produce clear, accurate minutes.
Excellent attention to detail.
Good administrative and organisational skills.
The ability to listen carefully and identify key decisions and actions.
Confidence using email, Microsoft Word, Microsoft Teams and other online meeting platforms.
The ability to manage deadlines and work independently.
A professional, impartial and discreet approach.
Good communication and interpersonal skills.
The confidence to work with governors, trustees, school leaders and other professionals.
The ability to maintain confidentiality.
A willingness to travel when required.

Experience in administration, minute-taking, education, governance, local government, legal services or committee support would be beneficial, although it is not essential.

Training and Support

The successful candidate will receive initial training before being allocated work. Ongoing guidance and support will also be available to help them develop the knowledge and confidence required to undertake the role effectively.

Additional Requirements:

Have access to a computer or laptop and a reliable internet connection.
Be able to work remotely and attend meetings online.
Be able and willing to travel to client locations when required.
Have access to suitable transport or be able to use public transport reliably.
Be available for some evening meetings.
Be willing to undertake any required safeguarding or background checks.
