Position Overview
We are seeking a proactive and highly organized General Administrator to support the day-to-day operations of our growing company, which includes a Construction Division, Residential & Commercial Investment Portfolio, an Adjudication/Claims Department, and support services for international athletes.
This role is ideal for someone who enjoys working in a varied administrative position within a small business environment. The successful candidate will provide general administrative support across multiple departments, assist with coordination and documentation, and help ensure the smooth running of daily operations.
The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
General Administration
- Provide day-to-day administrative support across all departments.
- Maintain organized digital and physical filing systems.
- Assist with preparing correspondence, reports, and documents.
- Manage office supplies, equipment, and service provider coordination.
- Support general office organisation and administrative processes.
- Answer and direct calls, emails, and general enquiries as required.
Construction Division Support
- Assist with project documentation and filing.
- Maintain records relating to permits, licenses, insurance certificates, and compliance documentation.
- Support site teams with document control and administrative coordination.
Residential & Commercial Investment Support
- Maintain property and lease documentation.
- Track lease renewal dates and key administrative deadlines.
- Assist with general property administration and record keeping.
Adjudication / Claims Department Support
- Maintain confidential case and claims files.
- Assist with preparation and organisation of claims documentation.
Athlete Travel & Competition Coordination
- Assist with coordinating domestic and international travel arrangements for athletes and support teams.
- Organise itineraries for flight bookings, accommodation and transport.
- Maintain competition schedules, training camp dates, and event calendars.
- Coordinate registration documentation and travel requirements, including visas and insurance where required.
- Assist with tracking key deadlines and logistical requirements for competitions and events
Executive & Team Support
- Provide general administrative assistance to company director and team members.
- Assist with calendar management, scheduling, and meeting coordination.
Qualifications
- Previous administrative experience preferred.
- Experience in construction, property, legal, professional services, sports administration, or travel coordination environments is advantageous.
- Strong organizational and multitasking skills.
- Good communication and interpersonal skills.
- Proficient in Microsoft Office and general business software.
- Ability to work independently and within a small team environment.
- High level of professionalism and confidentiality.
