The Role
This is a dual-focus role that sits at the heart of the business. You will work directly alongside the CEO and CFO, providing executive-level administrative support while also acting as a confident, polished point of contact for clients, distributors, and external stakeholders.
This is not a back-office role. You will be the first impression of the business for many of our external contacts — and the person who keeps senior leadership organised, prepared, and one step ahead internally.
We are looking for someone equally comfortable drafting a meeting agenda, coordinating international travel, and representing the company professionally on a call or in person.

Key Responsibilities
Executive & Leadership Support
- Manage calendars for the CEO and CFO, including scheduling meetings, calls, and appointments
- Prepare meeting notes, agendas, action trackers, and follow-up documentation
- Act as gatekeeper for senior leadership — managing access, filtering communications, and ensuring the right information reaches the right people
- Handle sensitive information with complete discretion and professionalism
External Communication & Stakeholder Management
- Serve as the first point of contact for clients, distribution partners, and external visitors
- Represent the company professionally in written and verbal communication
- Coordinate meetings and visits with external parties, ensuring a polished and organised experience
- Support senior leadership with correspondence and relationship coordination
Travel & Events Coordination
- Book and manage UK and international travel for senior staff
- Arrange accommodation, transport, and detailed itineraries
- Coordinate conferences, trade events, and company visits
Office & Business Administration
- Manage office supplies, inventory, and day-to-day purchasing
- Maintain organised records, documentation, and filing systems
- Support general coordination and administrative tasks across the business
- Ensure the office environment runs smoothly and to a high standard
What We're Looking For
- 2–4 years' experience in an executive assistant, PA, or senior administrative role
- Confident, professional communicator — equally effective in writing and in person
- Polished presentation and natural ability to represent a business externally
- Strong organisational skills with the ability to manage multiple priorities
- Proactive mindset — you anticipate what's needed and act without being asked
- Discreet, reliable, and trusted to handle sensitive information
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Full UK driving licence
- Able to work on-site in Coalville, Leicestershire
- Comfortable with occasional UK and international travel
