Job Summary
We are seeking a dedicated Engineering Service Assistant to support the Service Coordinator in overseeing and organising work for Customers, ensuring they receive a high-quality service and contributing to all processes running smoothly.
This role requires attention to detail, excellent communication skills and the ability to manage multiple tasks at once. Ideal for a person used to various levels of machine servicing and with a practical parts and services delivery mindset.
Key Responsibilities:
- Service reception support: assist the Service Coordinator with all service-related enquiries via IT and telephone.
- Support Service Coordinator: assist the Service Coordinator with the planning and implementation of services for Customers.
- Customer interaction: assist as a point of contact for clients, addressing enquiries and ensuring their needs are met promptly.
- Data entry and documentation: maintain accurate records of Customer services, service schedules and updates in the system. Ensure all documentation complies with company policies.
- Monitor service schedules: track and assist with the coordination of service appointments, ensuring that services are delivered on time and to the Customer's satisfaction.
- Communication: communicate with internal teams and external service providers to ensure seamless service delivery.
- Problem solving: help resolve any issues or concerns that arise during service delivery and escalate as needed.
- Reporting and updates: assist with preparing service reports, client progress updates and other administrative duties as needed.
- Administrative support: provide general administrative support, including scheduling meetings, maintaining files and managing correspondence.
Requirements:
- Strong organizational and multitasking skills;
- Customer focussed and results driven, following up as necessary to ensure task completion and Customer satisfaction - team player with a Customer first mentality;
- Excellent communication (both verbal and written) and interpersonal skills;
- Ability to work effectively in a fast-paced environment;
- Proficiency in Microsoft Office and IT literate;
- Previous experience in Customer service or administrative services support preferred;
- Familiarity with engineering services with the ability to understand the various levels of machine service;
- Practical engineering background with a parts and services mindset.
