Luss Estates has been home to Clan Colquhoun since the 13th century-one of Scotland’s oldest and most storied families. The hotel is in the conservation village of Luss on Loch Lomond and forms part of the 45,000-acre estate operated by the Colquhoun family. The hotel is going through an extensive renovation and will relaunch this summer as a five-star luxury Coaching Inn with event space creating a new way to enjoy the wild beauty of one of Scotland’s iconic destinations. The relaunch is part of Luss Estates development of its wider visitor offering around the village and loch and the hotel will offer guests many unique experiences as part of their stay.

We are recruiting a Meetings & Events Co-ordinator at this luxury 5-star Coaching Inn.
Role Description
The Meetings & Events Coordinator is responsible for planning, and coordinating weddings, social events, corporate functions, and private dining hosted at the Coaching Inn and its event spaces. This role serves as the primary point of contact for clients from initial inquiry through to event handover to Food & Beverage team, ensuring exceptional guest experiences while maximizing venue revenue and maintaining the Coaching Inns high standards of service.
Key Responsibilities :
Sales & Client Management
· Respond promptly to meetings and events inquiries.
· Conduct relevant show rounds and showcase meetings and events facilities to prospective clients.
· Prepare proposals, contracts, event quotations, and customized packages.
· Build strong relationships with clients, understanding their vision, preferences, and budget requirements.
· Maintain regular communication throughout the planning process.
· Upsell Loch Lomond Arms accommodations, catering, beverage packages, and additional event services.
Event Planning & Coordination
· Plan and coordinate weddings, receptions, ceremonies, corporate meetings, conferences, private dining events, and social celebrations.
· Develop detailed event timelines, floor plans, seating arrangements, and function sheets.
· Coordinate menus and catering requirements with the culinary team.
· Arrange event logistics, including décor, audiovisual equipment, entertainment, transportation, and guest accommodations.
· Ensure all event details are accurately recorded on function sheet and communicated to operational departments.
Vendor & Supplier Management
· Liaise with florists, photographers, entertainers, decorators, rental companies, and other event suppliers.
· Maintain a preferred vendor network and negotiate favourable terms when appropriate.
· Coordinate vendor access, setup schedules, and event-day requirements with operational team.
Coaching Inn Collaboration
· Work closely with Guest Relations Housekeeping, Food & Beverage, Kitchen, Maintenance, and Management team.
· Coordinate with guest relations room blocks and accommodation requirements for wedding parties and event guests.
· Participate in weekly operations and event planning meeting.
· Ensure excellent guest service standards are maintained throughout all event planning.
Administrative & Financial Duties
· Maintain accurate client records, contracts, deposits, and payment schedules.
· Track event revenue and monitor client budgets.
· Prepare event reports and post-event evaluations.
· Assist with forecasting and achieving annual event sales targets.
· Ensure all invoices and payments are processed accurately and on time.
