Full job description

Reports to: Transport Manager

Hours: Full-Time, Permanent

Location: South West Depot

Salary: Competitive

Job Purpose

To work alongside the Transport Manager carrying out administrative tasks assisting in maintaining of FORS (Freight Operator’s Recognition Scheme) accreditation for the business and ongoing compliance with both FORS and Transport Operator’s License requirements.

Power Electrics currently operate from six busy depots nationally and have a fleet of approximately 50 HGV’s of varying types and over 30 dedicated drivers. Plus numerous field engineers with vans.

Successful candidate will be involved in production and maintenance of records and monitoring compliance across a number of transport related areas.

Key Responsibilities

Tachographs – Ensure reporting and analysis of driver and vehicle tachograph records are up to date and compliant, liaising with depot management and the in house transport team where required.
Driver License Checks – Working with HR department, ensure that external bureau license checks are completed for all drivers and that frequency of checks is compliant with FORS requirements
Driver Eyesight Checks- Maintain records of regular six monthly eyesight checks for all drivers – liaising with depot management and the transport team to ensure that these checks are carried out when required.
Driver Training Requirements – Work with Transport Manager to ensure that records of all driver FORS training are kept up to date and staff advised when they need to undertake training.
Vehicle off road systems (VOR) – Ensure records of Vehicles/Trailers are produced, signed off and filed correctly and that policy is complied with.
Vehicle and Trailer Maintenance intervals and scheduling – Liaise with Vehicle Workshop Foreman and Transport Team to ensure that maintenance schedule records are complete and up to date.Providing advance notice of required inspections/service as appropriate and report any non-compliance to the Transport Manager
Vehicle Excise Duty Payments – Work with Logistics Manager to ensure VED payment records are up to date
Vehicle MOT slot bookings – Work with Logistics Manager to ensure that records of MOT bookings and passes/fails are updated on file
Maintenance of Head office Vehicle Files – Regular maintenance required of vehicle files to ensure all held in correct format and include correct paperwork incl V5, MOT, VOR, Defect Reporting etc
Operator Licensing Self Service System – Regular checks of company Operator License Status including amendments to vehicle/trailer lists as they are acquired, sold, transferred etc. And production of regular OCRS (Operator Compliance Risk Score) reports.
Driver Toolbox Talks – Working with Transport Scheduler, ensure all driver toolbox talk documentation is signed for and records passed to EHSQ department on time
Other Adminsitrative Tasks as required 13.Comply with the Company Health & Safety Policy, including carrying out general housekeeping to ensure work areas are kept tidy.
Comply with all aspects of the company ISO 9001:2000 procedures, proactively contributing to the company’s continuous improvement programme

Skills & Experience

Good organisational and communication skills ESSENTIAL
Suitable qualifications to demonstrate capability, i.e. solid secondary education or proven working experience in a field with transferrable skills ESSENTIAL.
Must have good attention to detail ESSENTIAL
Strong IT skills and be able to use MS Excel ESSENTIAL
Able to manage changing priorities in a fast moving environment ESSENTIAL
Ability to work as part of a team ESSENTIAL
Have a flexible approach to working hours as the needs of the business dictates ESSENTIAL
Experience in the HGV transport field would be an advantage, but training and support will be provided to the successful candidate. An eye for detail and good organisational skills are a must
