Zap! Juice is one of the UK's established e-liquid manufacturers, supplying award-winning vape products to customers across the UK and international markets.
We are looking for a highly organised, proactive and trustworthy Executive Personal Assistant to provide comprehensive support to the Director. This is a varied position combining executive assistance, personal support and international business coordination.
As the Director works closely with suppliers and manufacturing partners in China, the successful candidate must be fluent in both English and Mandarin Chinese to facilitate clear communication and help manage supplier relationships.
This role offers an excellent opportunity for someone who is eager to learn and develop. Full training will be provided, and for the right candidate there is potential to progress into a Project Management Trainee role as you gain experience within the business.
Key Responsibilities
Executive & Personal Support
- Manage the Director's professional and personal diary, ensuring effective scheduling and prioritisation.
- Coordinate meetings, appointments and travel arrangements.
- Manage emails, correspondence and follow-up actions.
- Prepare presentations, reports and business documents.
- Handle confidential information with discretion and professionalism.
- Assist with personal appointments and day-to-day administrative matters when required.
- Support with administrative tasks including photocopying, scanning, filing and general office administration.
Business & Supplier Coordination
- Communicate confidently with suppliers and manufacturing partners in China in both Mandarin and English.
- Coordinate production schedules, shipments and supplier communications.
- Assist with sourcing, quotations and purchasing activities.
- Liaise with freight forwarders, logistics providers and external business partners.
- Support the Director with project coordination and operational tasks across the business.
- Track project progress, monitor deadlines and ensure actions are completed on schedule.
- Assist with coordinating internal projects and business improvement initiatives.
Requirements
- Fluent in Mandarin Chinese and English (spoken and written) – essential.
- Previous experience in an administrative, office support or Personal Assistant role is desirable but not essential for the right candidate.
- A willingness to learn, take initiative and develop new skills.
- Strong organisational skills with the ability to prioritise multiple tasks effectively.
- Excellent communication and interpersonal skills.
- High level of professionalism, discretion and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Comfortable using AI tools (such as ChatGPT, Microsoft Copilot or similar) to improve productivity, research and administrative efficiency, or a willingness to learn.
- Ability to work independently while maintaining a collaborative approach.
Desirable Experience
- Previous experience as a Personal Assistant, Executive Assistant or Office Manager.
- Project management or project coordination experience.
- Experience working with Chinese manufacturers or international suppliers.
- Knowledge of import/export, logistics or supply chain operations.
- Experience supporting directors or senior executives.
- Full UK driving licence (preferred).
