CLINIC ADMINISTRATOR & CLIENT COORDINATOR

This is not simply a reception role.

THE ROLE
You will take ownership of the day-to-day client journey and provide essential administrative and operational support to the clinic and Clinic Owner.
Your responsibilities will include:
- Managing client enquiries confidently and professionally across telephone, messaging apps, email and face-to-face communication.
- Coordinating appointments, confirmations, reminders, rescheduling and follow-up communications.
- Actively managing and optimising the appointment diary rather than simply taking bookings.
- Ensuring enquiries are followed up promptly and potential bookings are not unnecessarily lost.
- Delivering an exceptional client experience from the first enquiry through to post-treatment follow-up.
- Maintaining accurate, confidential and up-to-date client records.
- Supporting the Clinic Owner with administrative and operational responsibilities.
- Helping coordinate the day-to-day running of a busy clinic.
- Identifying problems before they become problems and taking appropriate action.
- Supporting systems, processes and improvements as the business continues to grow.
- Maintaining the professional, organised and premium standards expected throughout the clinic.
WHO WE ARE LOOKING FOR
We are also looking for someone who presents themselves with a polished, professional and approachable presence — someone who looks the part in a premium clinical environment and naturally puts our more mature, established client base at ease, rather than a highly stylised or overly “glam” appearance.
We are selective about who joins our team.
You will need to be someone who can demonstrate:
Exceptional organisation — you can manage multiple priorities without losing attention to detail.
Confidence with people — you are warm and approachable but equally comfortable communicating professionally and taking control of situations.
Initiative — you don’t need constant direction and are comfortable making sensible decisions within your role.
Commercial awareness — you understand that excellent customer service, enquiry management, diary optimisation and client retention all contribute to a successful business.
Accountability — if you say something will be done, it gets done.
Excellent written communication — spelling, grammar and professional communication matter in this role.
Digital confidence — you are comfortable learning and using booking systems, messaging platforms, email, databases and other business software.
Discretion and professionalism — you will be working with confidential client information and within a professional clinical environment.
Previous experience within aesthetics, healthcare, private practice, hospitality, luxury retail, customer service, sales or client coordination would be advantageous.
However, attitude, ability and the right personality are equally important.
