Hours: 9.15am - 5.15pm (with an unpaid 30-minute lunch break) tbc
Job Purpose
Bath Academy is seeking an organised and professional Admissions Assistant to support the Admissions Team in implementing Bath Academy's student recruitment strategy and administering all aspects of the admissions process, from enquiry through to enrolment. The role supports admissions administration, data management, induction and recruitment activities while providing an efficient, professional and welcoming service.
Key ResponsibilitiesAdmissions
· Act as the first point of contact for all new enquiries to the college via phone, face-to-face or electronically in a timely and professional manner
· Provide administrative and practical support for activity related to Taster Days, Transition Days and Trial Weeks.
· Ensure that all admissions data is accurately recorded and tracked
· Manage the enquiry pipeline – receiving, logging and promptly following up on all enquiries
· Following up, closing and reporting on enquiries
· Schedule and confirm timings for personal tours / visits to the college
· Collate and dispatch (via email/post) tailored enquiry packs to parents pre-visit and pre-arrival information to international students
· Produce daily/weekly enquiry status and new enquiry pipeline performance reports
· Follow up with parents post-college visit and follow up in order to progress applications
· General administrative support duties to ensure the smooth running of Admissions to the college
· Respond efficiently to questions via telephone and email regarding the School and the Admissions process from prospective and new parents, and agencies. This includes communicating clearly with those who may not be familiar with the British education system and for whom English is not their first language.
· Send out promotional literature to prospective families and other representatives.
· Liaise with Marketing and Communication Officer and Head of Admissions to ensure that there is a sufficient supply of school promotional material available for admissions use, including exhibitions.
· Amend and update Welcome Packs and Handbooks as required.
· Ensure that proper correspondence and documentation is received and acknowledged, filed, and that departments are notified as appropriate.
· Process and store admissions documents appropriately in accordance with GDPR and governing body regulations
· Provide support for the administration relevant to student visas.
· Comply with safeguarding policies, procedures and the employee code of conduct
· Assist with the preparation of student registration and pre-enrolment
Database management
· Enter data accurately and within appropriate timescales into the pupil database system from initial enquiry onwards with timely follow ups
· Keep Admissions System up to date with status changes at each stage of an enquiry
Analysis and research
· Providing support to the Head of Admissions in the execution of all recruitment and retention events
· Maintaining up-to-date admissions-based information on competitor schools, including fees, prospectus and open day events.
· Undertake further CPD and database training as necessary to enable the development, creation and use of admissions statistical reports, in order to monitor progress against targets and identify trends.
General Office duties
· As part of the Administration Team, providing cover for the reception area throughout the day
· Any other duties as required to support the work of Bath Academy
Marketing Support
· Update the Marketing Officer with relevant content providing input into the college’s social media channels on behalf of the Head of Admissions (e.g. when absent)
· During busy periods provide administrative assistance for marketing campaigns, events, and promotional activities.
· Support the organisation of open days, information evenings and recruitment activities.
· Assist with preparing marketing materials, newsletters, and communications.
Person SpecificationEssential
· Previous experience in administration, reception, or office support roles
· Excellent organisation, communication and IT skills.
· Strong attention to detail
· Experience using databases (preferably iSAMS).
· Professional approach to confidential information.
· Excellent customer service skills.
· A team player who enjoys working in a busy environment
Desirable
· Previous experience of working in schools
· Knowledge of working with school databases (ISAMS specifically)
