An exciting opportunity has arisen for a Shipping Coordinator to join our Car Carrier Group based at our Southampton office within the prestigious Ocean Village Marina Complex.
This role would suit a motivated and organised individual with some knowledge of sea freight import and export processes, who is keen to develop their career within the RORO sector. Full training will be provided on our in-house systems and internal processes.

The Southampton office forms part of the Car Carrier Group and is dedicated to supporting customers with vessel schedules, bookings, cargo documentation, import and export processes, and day-to-day operational enquiries.
About the role
Reporting to the Office Manager of Car Carrier department, the successful candidate will support the team in delivering an efficient, prompt and professional service to car carrier customers. The role will involve the timely and accurate processing of import and export cargo, customer queries, booking information and related shipping documentation.
Key Responsibilities
- The successful candidate will be responsible for a varied range of import and export administration duties, including:
- Provide service details upon request to customers, including, but not limited to - vessel schedules, delivery terminal, cut-off dates, opening/closing times
- Process booking requests in K Line Global System
- Process Export Shipping Instructions
- Keeping track of allocated space for UK bookings
- Update in house XL record sheets logging relevant booking information
- Review daily on quay list to check cargo booked dimensions against measured on quay. Add cargo received data into in-house systems to generate EDI messaging to our clients.
- Collate and submit UCR’s using CNS/Destin 8 systems.
- Creation of Import Files
- Checking Import Freights, THC and associated costs against Tariffs
- Advising accounts teams regarding incoming payments to ensure correct allocation.
- Up-loading Import Manifests to CNS / Destin 8 Systems
- Checking with new Import Customers regarding acceptance of freight costs
- Arrangement of adhoc terminal services
- Any other tasks as directed by Office Manager
Key Requirements
- Previous experience in customer-facing, administrative, logistics, shipping or similar role would be preferred.
- Strong customer service skills, with the ability to engage with customers professionally, courteously and confidently by phone and email.
- Good written communication skills, including the ability to compose clear and professional messages.
- Good administrative skills, strong attention to detail and the ability to process information accurately.
- Basic IT skills, including confidence using Microsoft Excel and maintaining records accurately.
- A proactive approach to building positive working relationships with customers and colleagues.
- Knowledge of customs procedures, shipping processes or logistics operations would be advantageous.
- Ability to assist with basic troubleshooting and resolve day-to-day customers or operational queries.
- Comfortable working in a predominantly office-based role, with some flexibility where appropriate.

What we offer
In return, the company offers a competitive salary of £28,000 to £31,000 per annum, depending on experience, together with a good benefits package. This is an excellent opportunity to develop within the shipping industry and gain valuable experience in the RORO sector.
