About the role:
As the Project Coordinator Team Leader, you will play a pivotal role in managing and leading a team of Project Coordinators within our Professional Services (PS) function. You will oversee the coordination of all activities related to service requests, project scheduling, and the optimisation of resources across both the PS and Field Engineering teams. Your leadership will ensure that engineers are aligned with the right projects, are equipped with the necessary tools, and operate at maximum efficiency. You will oversee the execution of complex, high-volume projects and ensure successful project delivery, maximising revenue and contributing to the overall success of the business.
Responsibilities:
- Lead, mentor, and guide a team of Project Coordinators
- Monitor and evaluate team performance, providing feedback, coaching, and development opportunities.
- Act as the point of escalation for team members, ensuring challenges are addressed and solutions are implemented effectively.
- Ensure the team adheres to best practices, policies, and procedures to maintain consistency in project coordination across all projects.
- Oversee and manage the scheduling and assignment of engineers to incoming projects, ensuring efficient allocation of resources including holiday approval
- Supervise the planning, execution, and monitoring of multiple concurrent projects.
- Ensure that the team accurately tracks and manages project budgets, timelines, and deliverables, and that project boards are up to date with the latest information.
- Coordinate project handovers between internal teams and plan client closure calls.
- Serve as a primary point of contact for key clients, ensuring clear communication regarding project progress, status updates, and any issues that arise.
- Prepare and present Engineer utilisation reports for the SLT, providing clear insight into resource allocation, capacity and overall team performance.
- Track and manage project billing in line with each stage of delivery.
- Creation and ongoing maintenance of project templates.
- Assist your team in liaising with third-party vendors and stakeholders, ensuring alignment and smooth communication.
- Foster positive relationships with external clients to ensure long-term satisfaction and repeat business.
- Regularly monitor team workflows and processes, identifying opportunities for improvements in efficiency and quality.
- Lead regular risk management reviews and contribute to the ongoing development of best practices within the team.
- Ensure that all project documentation, trackers, and related materials are properly maintained, accessible, and securely stored in the appropriate systems.
- Collaborate with internal teams, such as Sales, Engineering, Cyber and Service Delivery, to ensure project requirements and timelines are met.
- Participate in regular team meetings, ensuring open communication channels and a collaborative approach to problem-solving.
- Foster a culture of innovation within the team, encouraging creative solutions to challenges that arise during project execution.
- Ensure your team adheres to company policies and standards, particularly regarding information security and compliance with the Information Security Management System (ISMS).
- Actively contribute to a secure working environment by promoting data security awareness and best practices.
Experience:
- Project scheduling and coordination experience
- Experience coordinating a high volume of concurrent projects
- Experience working with external clients
- Excellent communication and customer service skills
- High attention to detail
- Highly organised with the ability to multitask
- Previous experience within an MSP environment is advantageous
- Autotask experience is advantageous
- Project management certification is desirable but not essential
