Financial Services Administrator

Location: Washington, Tyne & Wear · Hybrid — c.2 days in the office, the rest from home Hours: Monday to Friday, 9:30am – 4:30pm (30 hours per week, one hour unpaid lunch) Salary: £25,000 per annum (equivalent to c.£31,000 full-time) Contract: Permanent Start date: Mid-September 2026
Real hours. Real flexibility. Real pay.
Most financial services administration roles want you in an office, five full days a week. This one doesn't.
9:30 to 4:30, Monday to Friday — school run at both ends. Around two days a week in our Washington office, the rest from home. No evenings and no weekends.
And we're not asking you to trade money for any of that — £25,000 over a 30-hour week works out at £16.03 an hour, which is the top of the market in this region for an administrator, full-time or otherwise.
We've set it up this way deliberately. We think there are experienced, capable people in the North East who stepped away from full-time financial services because the hours or the commute stopped working — not because the work did. If that's you, we'd very much like to hear from you.
About us
We're a successful, well-established financial advice practice based in Washington, looking after £49 million of funds for more than 300 clients.
We're a small but busy office, and we pride ourselves on delivering genuinely good outcomes for our clients — in a relaxed, sociable and friendly working environment. No politics, no open-plan noise, no unnecessary meetings.
Small means small. You would be the administrator, working directly alongside our adviser — not one of six in a back office. That means real ownership of your work and a direct line to the person making the decisions. It also means we need someone we can trust to get on with it.
The role
As our Financial Services Administrator, you'll be responsible for the effective day-to-day running of the practice. It's a wide-ranging and varied role:
- Managing client requests from start to finish, and owning ongoing caseloads for multiple clients
- Drafting client correspondence and letters for adviser review
- Gathering information on behalf of clients from third-party providers — and chasing them when responses are slow
- Preparing information and presentation packs ahead of client meetings and annual reviews
- Processing new business applications through to completion
- Taking incoming calls and making outgoing calls to clients
- Managing the adviser's diary
- Keeping client records, files and compliance documentation accurate and up to date
If you like ticking one box on a production line, this isn't for you. If you like owning a client's journey from start to finish and knowing it was done properly, it very much is.
Reception cover
Our office has a receptionist, employed by another business in the building. When they're on leave — around six weeks a year — you'll cover front of house from the office: greeting visitors and handling incoming calls, alongside your own work.
What we're looking for
Because you'll be our only administrator, we need someone who can hit the ground running. This is a role for an experienced hand.
Essential:
- At least two years' experience in an administrative or support role within an IFA, wealth management or financial planning firm
- Confident working independently and managing your own workload without close supervision — you'll be working from home much of the week, so this genuinely matters
- Strong written English and grammar — you will be drafting letters that go out to clients
- Excellent organisation and attention to detail; the sort of person who notices when something doesn't look right
- Strong communication skills, and comfortable with the discretion this work requires
- Flexibility to be in the office on additional days to provide the reception cover described above
Desirable:
- Experience within a Partner Practice or a national wealth management network
- Financial services qualifications (CII, CISI or similar) — welcome, but not required
- Experience with Salesforce or a similar CRM
We're recruiting for experience and judgement, not paper qualifications. If you've done this work well somewhere else, we want to talk to you.
What we offer
- £25,000 per annum (c.£16.03/hour — top of the regional market)
- 30-hour week, 9:30am–4:30pm, Monday to Friday
- Hybrid working — around two days a week in the office, the rest from home
- 28 days' holiday including bank holidays
- Plus a paid week off over Christmas, when the office closes — not deducted from your allowance
- Workplace pension
- A relaxed, friendly, low-drama office
- Scope for the role to grow, and for your pay to grow with it
Settling in: you'll spend more time in the office during your first few weeks, so you can get to know our clients, our systems and how we work, before settling into the usual hybrid pattern.
