Job Summary
We are seeking a highly organised and proactive Solar Office Administrator to join our growing renewable energy team. In this role, you will be the backbone of our daily operations—supporting our sales team, assisting with customer journeys from inquiry to installation, and keeping our solar projects running smoothly. Key Responsibilities
Project & Data Management: Maintain accurate records of solar leads, active installations, and client data using Microsoft Excel, Sage, and our industry-specific CRM software.
Sales & Project Administration: Support the solar sales and technical teams by processing orders, coordinating surveyor schedules, and assisting with essential documentation (e.g., DNO grid applications, MCS paperwork registration assistance).
Client & Supplier Communication: Handle daily correspondence via Microsoft Outlook and Word, managing enquiries from domestic/commercial solar customers and liaising with equipment suppliers.
Reporting: Prepare weekly performance reports and presentations using Microsoft PowerPoint to track installation timelines and sales targets.
Customer Experience: Provide exceptional customer service, guiding clients through their solar journey and professionally handling queries regarding installation dates or paperwork.
Office Coordination: Manage general office activities, maintain digital and physical filing systems for compliance, and assist with minor IT/software troubleshooting to ensure smooth daily operations.
Requirements
Administrative Experience: Proven track record in a fast-paced office environment (experience in the renewable energy sector is a massive plus).
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Software Skills: Experience with Xero accounting software and CRM workflows is highly preferred.
Communication Skills: Excellent written and verbal English communication skills with a professional, customer-focused attitude.
Organisational Master: Exceptional time-management skills with the ability to prioritise tasks (like balancing urgent installation changes with routine paperwork).
Team Player: Ability to work independently and collaborate effectively with sales reps, solar installers, and management.
