Assistant to the Director of a family-run property management company

BACKGROUND
You will be working as the Assistant to the Directors of a family-run property management company. The business has been operating since 1960 and is now run by the second generation of the family. The company rents outs residential flats across Bristol, commercial units and farmland in Tockington, and holiday lettings in Cornwall and France. You would be based at the Head Office in Tockington, BS32 4LQ, and may be occasionally required to travel to the properties in Bristol.
THE ROLE
You will be supporting the Directors with a range of roles including all aspects of residential lettings and a range of other administrative roles that are part of running a small business. In the role you would be responsible for updating tenant and lease information, accounting (using Xero), liaison with existing and potential tenants and up to date legislation reviews.
Tasks will also include invoicing, procurement and filing. Monitoring of utility rates and payments.
Infrequently you may be asked to meet tenants at the properties in Bristol and to conduct viewings.
You will need to be organised and able to follow systems. You will need to be confident in using a computer and a range of desktop software as well as all social media platforms.
You will need to be competent in communicating both online and in person and able to be discreet about confidential information.
You will need to be able to work as part of a team.
THE HOURS
This is a part time role. Hours can be discussed to suit the business and candidates. We are looking for approximately 16 hours a week, year-round. Ideally you will work every day but this can be discussed; you must be able to work on Thursdays and Fridays at Head Office for at least 4 hours per day. Remaining days and hours can be agreed.
YOU WILL NEED
A full range of computer skills. Experience with Microsoft Excel essential.
Experience with lettings and accountancy (Xero) very useful but not essential.
A driving licence and car.
Good communication skills. Enthusiasm to work with a small family business, and motivation to implement new systems to make the day to day running of the business more productive and efficient.
A sense of humour!
